This employment opportunity is with Addictions and Mental Health, Oregon State Hospital, which is part of the Oregon Health Authority (OHA). There is one full-time position located in the Harbors Treatment Mall in Salem. This position is represented by Service Employees International Union (SEIU).
Duties & Responsibilities:
The purpose of this job/position is to provide clerical support to the Harbors Treatment Mall.
Timekeeping: Maintain daily and monthly timesheets for employees on the Treatment Mall. Prepare timesheets from weekly log, obtain employees and supervisors signatures and submit timesheet information on time capture in the appropriate time frame, according to Forensic Psychiatric Services timekeeping policy and OSH payroll protocol. Assure exception sheets (i.e. overtime, leave request forms) are completed in a timely manner. Maintain a computerized and hard copy record of Treatment Mall employees timekeeping. Compile monthly program staffing data for the Treatment Mall and submit these forms to the Forensic Psychiatric Services Assistant to the Program Director.
Clerical Functions: Receive and direct telephone calls and provide general information to the callers. Input and maintenance of the scheduling, attendance and group tracking data base. Maintain a current working knowledge of OSH Policies and Procedures, Oregon Administrative Rules, MHAS Directives, Forensic Psychiatric Services Policies and Procedures, unit guidelines, level system and practices. Post and file new policies. Complete copy work as needed for staff and residents. Pick up mail for the Treatment Mall. Run errands to various departments (i.e. return charts to medical records, pick up paychecks at Communication Center). Maintain records of Treatment Mall purchases and outside vendor services.
Unit Maintenance and Ordering: Organize and maintain office and non-medical supplies to meet daily needs. Order food and kitchen supplies. Submit work requests to the Physical Plant Department.

Qualifications & Desired Attributes:
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
An Associate's degree in Office Occupations or Office Technology; OR
Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
Experience using OpenSIS.
Experience with Excel spreadsheets.
Experience handling and being responsible for confidential information.
Advanced organizational skills and the ability to meet strict deadlines.
Excellent customer service and communication skills.
Work hours subject to change. May be required to work hours that exceed regular shift, i.e. a double shift or a different shift in addition to regular schedule.
Must be able to speak, write, and understand verbal and written instructions in English.
Exposure to fluctuating temperatures, works in hot/humid environment.
Works flexibly and cooperatively with coworkers and other hospital employees.
Works with inmates and patients daily.
Able to work under pressure, deadlines, noisy work areas, wet and slippery floors.
Sits at a desk and uses computer for long periods of time.
Daily walks to Administration to pick up and deliver mail.
Please note: Employees who have had a lateral transfer in thier current classification within nine (9) months prior to the vacancy announcement closing date are not eligible for lateral tranfer. In addition, employees having a record of disciplinary action (letter of reprimand or more severe) within six (6) months prior to the vacany announcement closing date are not eligible for transfer.
If you are currently employed by the Oregon State Hospital in the Office Specialist 2 classification, you are only required to complete the required basic application information and answer the supplemental questions.

Selection Process :
Employees eligible for lateral transfer who are in the same Classification and Program as the vacancy posting will be offered the position in seniority order, based on seniority date in class.
Employees eligible for lateral transfer who are not in the same Program and/or Classification as the vacancy posting, but are at the same salary range as (and meet the minimum qualifications for) the posted position, will be offered an interview for the position if there are no seniority-based applicants or if all seniority-based applicants decline the position.
Employees eligible for lateral transfer, but who are on Trial Service, may or may not be offered an interview or considered for the lateral transfer.
