Operations Admin Assistant

American Gasket and Rubber, a division of Tekni-Plex and a world leader in the manufacture of rubber and plastic aerosol valve gaskets, is seeking an Operations Admin Assistant that will provide plant wide clerical services. The main focus of this position will be in Customer Service and preparing Shipping documentation (Packing slips, bills of lading for both domestic and international shipping.) The ideal candidate must be able to multi-task, have to ability to deal with quick changes and be highly organized.

Job responsibilities include:

  • Provides a variety of administrative functions for the Company which includes but is not limited to: answering phones, data entry, typing and mailing correspondence, filing, faxing, scanning, copying, mailing, etc.
  • Utilizes the company computer system and PC software to develop, maintain and generate effective reporting systems that relate to the job function. Using these systems, prepare routine and non-routine reports, including gathering and summarizing data –includes daily, weekly, monthly and quarterly reports.
  • Maintains and updates computer records such as but not limited to: data entry, customer accounts, part numbers, sample request, die request, quotes, plant work orders, spec change request, pricing, prints, drawings and inventory.
  • Provides information to customers and staff on ship date and order status.
  • Assists in resolving traffic-related irregularities.
  • Receives reviewed customer purchase orders for processing and confirming to proceed with production order and make adjustments as needed.
  • Provides support and respond to customer questions and complaints, referring unusual or significant issues to manager and/or sales staff of interpretation and resolution.
  • Maintains a current list of all customers, name, address phone, and contact.
  • Verifying inventory levels against shipments using scan guns; transmit data and confirm for accuracy.
  • Schedules all outgoing shipments (both domestic and international), including any necessary routing changes, with established trucking firms to meet customer requirements in a cost-effective manner.
  • Arranges inbound freight for full truckloads for both locations, including receiving quotes in the FreightView System.
  • Coordinates and processes all Federal Express packages for the facility.
  • Ensures accurate and timely completion and distribution of all customer service and shipping documentation which includes receiving and assembling bills of lading, packing lists, import/export documents, shipping orders, and invoices - checking against orders, reporting shortages and incomplete orders, and making changes as necessary.
  • Maintains strong channels of communication with customer service, scheduling, production and purchasing, and facilitate any necessary follow-up to ensure smooth movement of goods.

  • Requirements

    • High school diploma or the equivalent;
    • 3-5 years of previous related experience; at least 2 years experience in a manufacturing environment;
    • Ability to multi-task;
    • Excellent written and verbal communication skills and telephone technique;
    • Strong computer skills – data entry; MS Office software skills, including Excel, Word.
