R PC is looking for someone who understands and is able to manage the accounting side of a construction project, as well as the administrative functions of such. Must be able to manage a heavy work load, posses excellent communication and computer skills, and willing to do whatever it takes to get the job done. This position is located at our corporate office in South Burlington, VT.
Responsibilities include providing support for multiple construction projects while responding to the needs of several Project Managers and one or more Vice President(s). An Associates Degree is preferred with a minimum of two years secretarial experience, preferably in the construction industry. This individual should be proficient in Windows and Microsoft Office and type at minimum 65 wpm. Experience with Expedition software is a plus.
Type and manage all correspondence, subcontracts, purchase orders, bid packages, meeting minutes, transmittals, etc., and associated copying for distribution and filing.
All set-up and maintenance of files for those projects which are managed from the Main Office including preparation of files for Records Retention upon completion of the project(s).
Assemble and copy bid packages, submittals, etc. as necessary.
Type, process, and coordinate bid packages and associated documentation, including any addenda that need to be expedited.
Maintain updated logs of signed/unsigned subcontracts, purchase orders, RFIs, change orders, field changes, punch lists, submittals, etc,. and any other job-specific spreadsheets as needed.
Coordinate, expedite, and process submittals in order to ensure a quick turnaround.
Organize and prepare outgoing packages for Federal Express, UPS, or other mailings.
Maintain schedule board to keep track of all department members’ locations.
Set-up meetings and seminars (for department personnel, training, AGC, etc.) including scheduling conference rooms and food coordination when required, both in and out of town.
Sort incoming mail and faxes and route properly, along with outgoing mail to appropriate parties as necessary.
Additional duties as assigned.
