Working under limited supervision, this position provides high level administrative support to the Operations/ Transportation departments, interacting with a diverse group of internal and external customers, visitors and employees throughout all levels of the organization. This position responds to moderately complex inquiries and calls concerning area of responsibility with some degree of latitude and judgment using existing policies and procedures. In addition, this position assigns work and supervises Operations Clerks.
Prepares weekly productivity indicators, estimates, and reports utilizing advanced excel features.
Download data from multiple operations and transportation systems; compile into reports
Acts as business partner in assisting department management and staff members in meeting deliverables such as time management/prioritization of daily activities and maintaining focus on business matters/issues.
Prepares and designs professional correspondence, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. May create and develop presentations as needed.
Schedules and manages backhauls; responding to all related issues.
Maintains master vacation schedule for all Operations departments.
Tracks, monitors and reports various operations metrics including productivity and budget data.
Supervises, assigns and monitors work of operations clerks.
Answers and screens incoming phone calls/e-mails and forwards as necessary.
Other administrative duties as assigned.
Education/Training: High school graduate or equivalent. Two year college degree preferred.
Related Experience: A minimum of five years related administrative experience required.
Advanced proficiency with Microsoft Office; Word, Excel, Powerpoint, Access, Outlook required.
Ability to utilize multiple systems in order to compile various complex reports.
Must possess exemplary analytical skills.
Must have strong communication skills and be able to work independently and under minimal supervision.
Must possess a working knowledge of office administrative procedures and standard office equipment.
Must be detail orientated, possess a high level of efficiency, strong multi-taking, and sound judgment and reasoning skills.
The ability to demonstrate discretion with highly confidential information is required.
Must possess the ability to effectively prioritize.
Must possess the ability to delegate assignments and supervisor clerical staff
