Under direct supervision, sort and compile billing encounter forms (professional fee billing forms) from the outpatient clinic area. Track missing billing encounters, review and maintains billing encounters on a daily basis, reconcile billing encounters against clinic schedules, maintain data bases and spreadsheets. Principal Responsibilities and Tasks1.Collects and checks encounter for completeness and accuracy. Complies encounter form batches, reconcile billing encounters with clinic schedulesA.Collects and tracks encounter forms from Nurse Managers, tracks form in OTIS and Powerchart Systems.B.Responsible for collection 100% of encounter forms by the next business day. C.Checks encounter forms for accurate patient information, physician signature, and ICD-9 codes. Communicates missing information to providers and obtains correct information.D.Responsible for batching IDX clinic schedules on a daily basis, checking completed forms against schedule for any missing forms or patient appointments E.Update various reports.2.Answers telephone and in-person inquiries concerning using registration systems, PowerChart, etc. to retrieve appropriate patient data. Responds to enquires and takes messages. Locates provider or nurse when appropriate.3.Gathers and records data (from billing encounters) used for individual, team and feedback performance reporting. Responsible for the integrity of recorded information.4.Communicates with other Medical System departments in the process of performing the duties of the position, such as, Medical Records to ensure doctor's documentation has the correct date of service, medical record number and required signatures

Three years of office experience in a medical office or healthcare environment. Registration, front desk or referral services experience preferred. High School Diploma or equivalent (GED) is required. Knowledge, Skills and Abilities 1.Demonstrate effective communication skills and ability to interact with patient in professional manner.2.Proficient in PC applications and accurate data entry. Use of other medical registration system and/or STAR/IDX preferred. A.Will pass the UMMS computer systems' certification test within one attempt.B.Maintains department specific goals for registration accuracy.3.Knowledge of medical terminology in order to understand diagnoses to schedules appointments and log diagnoses for patient charges. Understanding and previous use of CPT and ICD-9 codes, preferred.4.Continuously develops and enhances skills in areas such as service quality improvement, customer service and interpersonal skills. Participates in UMMS educational opportunities and departmental staff meetings.5.Ability to use independent judgment successfully in determining patient need for alternate Medical System services, such as, the ability to pay for clinic or hospital services and/or need for counseling or admissions testing services.6.Ability to demonstrate sensitivity to the physical circumstances of the patient, and diligence in acquiring the information from patients who may not be able to communicate or move effectively.7.Highly effective verbal communication skills including courtesy and efficiency in answering patients' and families' questions, explaining the admitting process and explaining hospital policies and procedures are necessary. Effective writing skills are also required in completing parking vouchers, miscellaneous receipts and logs.8.Ability to demonstrate knowledge and skills necessary to provide care appropriate to the patient population(s) served. Ability to demonstrate knowledge of the principles of growth and development over the life span and ability to assess data reflective of the patient's requirements relative to his or her population-specific and age specific needs.
