Responsible for providing day-to-day project support for project managers, engineers and other office and field staff , including but not limited to assembling and transmittal of Project Submittals, Request for Information, O & M Manuals for Project Closeout, entering time for payroll, understanding deadlines and becoming proficient in M. C. Dean’s in-house software, such as PM-Online, and Microsoft SharePoint.

Responsibilities include but are not limited to:
  • Managing and maintaining Project files.
  • Distributing all correspondence as directed by the Project Manager.
  • Coordinating meetings with project team members.
  • Maintaining submittal Logs, assisting with submittal preparation and distributing submittals to the customer for approval.
  • Maintaining submittal books for pending, approved and disapproved submittals as per the Construction Division Operations Manual; and distributing approved submittals to appropriate field employees and vendors.
  • Processing Requests for Information (RFI), distributing to customers for response, and distributing RFIs to appropriate field employees per the direction of Project Managers.
  • Maintaining Requests for Information Log, showing open and closed RFIs as per the Construction Division Operations Manuals.
  • Submittal preparation.
  • Establishing and maintaining Submittal Log.
  • Assisting the project manager in preparation of a Monthly and Quarterly Project Report by producing and copying report binders with information provided by the Project Manager.
  • Processing and tracking documentation using a Project Management application.
  • Assisting Project Manager with proposal spreadsheets for customer /Accounting use.
  • Assisting Project Managers with tracking status of payment of specific subcontracts/purchase orders.
  • Coordinating Project Kickoff meetings and verifying checklist of items due from Project Managers are complete.
  • Assisting other divisions whenever required for project research.
  • Interfacing with Account Receivables and Project Managers to resolve contract-billing issues.
  • Setting up Contract Files.
Requirements Description:
  • Submittal preparation.
  • Establishing and maintaining Submittal Log.
  • Maintaining Project Manager Change Order files in an organized fashion.
  • Maintaining Change Order Log showing pending, approved and disapproved status.
  • Distributing Change Order to customer and appropriate field employees.
  • Interfacing with Accounts Receivable Dept for issue resolution.
  • Assisting Project Manager with Quarterly Report presentations.
  • Interfacing with Accounts Receivable Dept regarding invoice status.
  • Establishing and maintaining RFI Log and RFI Book showing Open and Closed RFI's.
  • Interfacing with Vendors to obtain Operations and Materials (O&M) data in a timely manner.
  • Testing new updates and integration processes.
Required Skills:
  • Excellent organization skills.
  • High School Diploma and 6-8 years specialized knowledge in project administration.
  • Computer proficiency.
  • Document management and record keeping skills.
  • Classifying, sorting, filing and distributing correspondence / other documents appropriately.
  • Exceptional oral and written communication skills.
  • Exceptional presentation skills.
  • Following general office procedures.
  • Coordinating project meetings.
  • Producing computer graphics/presentations.
  • Incorporating graphics in MS Word or other software.
