Primary Operational Objectives:

The part-time Executive Administrative Assistant is responsible for supporting the President/CEO of the company, by working independently with very little direction and have impeccable attention for detail.

Essential Job Functions:

•Compose correspondence, reports, presentations, forms and other documents independently or from transcribing machines, notes or general instruction
•Answer and coordinating phone calls
•Manage and maintain schedules, appointments, calendars and travel arrangements; including expense reports
•Maintain customer confidence and protect operations by keeping information confidential
•Arrange executive functions; answering questions and meeting requests
•Interact/communicate professionally and effectively with all management and team members, as well as external clients
•Sort and distribute mail; as well as prioritize and track to ensure prompt handling
•Maintain President/CEO’s office supply inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
•Arranges meetings by developing itineraries and agendas
•Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans
•Responsible to make sure all the reports and data files are arranged in a perfect manner
•Design and maintain databases
•File and retrieve documents and reference materials
•Record, transcribe and distribute minutes of management and other executive meetings
•Other duties as assigned


•Minimum of 3 years’ experience in an Executive Administrative Assistant role preferred
•Minimum of 5 years of varied clerical experience, including strong knowledge of clerical office practices/procedures and general recordkeeping practices preferred
•Highly proficient in Microsoft Office products and other standard office equipment
•Must possess excellent written & oral communication skills, including proofreading skills
•Comfort level for communicating with international clientele
•Ability to speak foreign languages is a plus
•Ability to work independently with minimal supervision and be accountable for actions
•Must be self-motivated
•Ability to organize, set priorities, meet deadlines, and provide proper follow-up
•Ability to maintain the highest level of confidentiality/use of tact and discretion
•Strong decision-making/problem solving skills
•Ability to interpret and apply policies and procedures within limits of authority

Physical Demands:

•Frequent standing, walking, bending, stooping, reaching, pushing and pulling required
•Occasional lifting up to 25 lbs.
