Patient Services Operations Coordinator

Provide project related support and assistance for assigned project(s) and project teams with minimal supervision. Projects are typically larger in scope and complexity than those supported by staff at a lower grade. Will ensure all work is conducted in accordance with SOPs, policies and practices, good clinical practices and applicable regulatory requirements and meets quality and timeline metrics.

EOE Requirements

Responsible for receiving Service Request Forms from patients/physicians, scanning and then emailing form to appropriate nurse based on territory ID on form
Data entry: entering patient identifiable information into CRM system
Scantron survey creation, tracking, reporting
Data Collection/Activity Reporting. Generating reports from Veeva and/or any other HIPAA compliant system
Business Reply Cards processing
Triage Communication (collection and distribution)
Establish and maintain all project documentation including all files, records and reports according to the scope of work and SOPS.
Assist with periodic review/audit of files for accuracy and completeness.
Coordinate and track all information, communications, documents, materials and supplies for assigned projects.
Update and maintain internal systems, databases, tracking tools, timelines and project plans with project specific information.
Identify and escalate discrepancies in project tracking data, timesheet coding, expense data billing, and interpretation of financial figures which may lead to identification of out of scope activities not previously reported.
Prepare and distribute status, tracking and project finance reports, and assist the project lead and project manager with budget allocation and approval of invoices.
Prepare presentation materials for meetings (internal/external) and project summary data.
Coordinate project team and/or customer meetings including logistics and materials required.
Coordinate with other project support staff within and outside the Sales Operations Unit to identify and consolidate support processes.
Will serve as primary backup contact for internal project team and for external stakeholders/customers as designated.
Will undertake project management activities as directed by stakeholders
Train and mentor more junior project support staff.

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

Bachelor's Degree and 1 year's relevant experience; or equivalent combination of education, training and experience.
