Depending on the candidate's job related skills and experience; we may hire a Specialist I, II or III.

Responsibilities:

Payroll Specialist I

Performs tasks to establish and maintain employee/payroll records. Duties may include checking and auditing timekeeping records for compliance with established standards, maintaining time and attendance records, entering new leaves data into the payroll and timekeeping system, posting changes in pay and tax status, and miscellaneous changes (examples: direct deposit, check reversals, new hire processing). Provides policy information and employee specific data to employees in a customer service capacity. Conducts basic employee and manager training and education in formal and casual settings. Sorts Mail and performs other administrative tasks for the group including filing. Interacts with internal department representatives to resolve issues.

Payroll Specialist II
Ability to perform all duties of a Payroll Specialist I as business needs and workload dictates and performs a wide variety of record keeping and payroll processing activities, including computing wage and overtime payments, calculating and recording payroll deductions, processing inter-company transfers and terminations including preparing manual checks. Prepares data and documents in support of more complex processing and processes conducted by more senior members of the team. Conducts batch importing, journal and wire processing. Although duties normally follow established procedures, responsibilities may include routine, minor corrections to make documents acceptable for processing. Provides policy information and employee specific data to employees in a customer service capacity. Conducts employee and manager training and education in formal and casual settings. Interacts with internal department representatives.

Payroll Specialist III

Ability to perform all duties of a Payroll Specialist I and II as business needs and workload dictates and performs other duties including balancing and controlling earnings and deduction totals, calculating and preparing general ledger entries, inspecting automated system output such as registers and standard reports, determining and correcting out-of-balance conditions, preparing, auditing and filing tax reports, gathering payroll data for inclusion in financial statements, and researching and preparing special reports for management, calculating military and jury duty pay, and processing garnishments, levies and manual checks. Responsible for end to end processing of one or more payrolls. Conducts employee and manager training and education in formal and casual settings. May train less experienced payroll specialists and direct their daily work. Maintains payroll related accounts including administration of 401k plan contributions, reconciliation of payroll general ledger accounts per payroll controls. Ensures accuracy and managed executive compensation transactions in partnership with the compensation and other internal teams. Provides guidance and data to less experienced payroll specialists to assist them in resolving issues, trouble shooting or answering customer questions. Provides policy information and employee specific data to employees in a customer service capacity. Interacts with internal department representatives to resolve issues and ensure processes and data exchanges are clear. Recommends process improvements to support efficiencies and/or customer experience within the department and division. Administers the company’s payroll system and associated interfaces/data feeds/connections to other systems critical to the accurate processing of payroll and reporting.

Qualifications:

Payroll Specialist I
  • Entry level position requiring experience in an office setting; applies company policies and procedures to resolve basic issues. Able to use a calculator, perform word processing, typing and 10-key data entry at a set standard. Basic knowledge of spreadsheet applications.
  • Tasks are generally routine and require little or no deviation from established procedures. Exercises judgment within defined procedures and practices to determine appropriate action. Has internal and some external contacts.
  • Normally receives general instructions on routine work, detailed instructions on new projects or assignments. Works under close supervision. Tasks are generally routine and require little or no deviation from established procedures.
  • Requires a minimum of 2 years office experience and a good math/accounting aptitude.
  • Requires a high school diploma or equivalent. FPC designation preferred.
Payroll Specialist II

Same knowledge and experience as a Payroll Specialist and:
  • Uses professional concepts; applies company policies and procedures to resolve a variety of issues.
  • Works on problems of moderate scope where analysis of situations or data requires a review of a variety of factors. Exercises judgment within defined procedures and practices to determine appropriate action. Has internal and some external contacts.
  • Works under general supervision. Normally receives general instructions on routine work, detailed instructions on new projects or assignments.
  • Requires 2 years of related experience with additional bookkeeping, accounting, payroll, finance or related training.
  • Requires a high school diploma or equivalent. FPC designation preferred.
Payroll Specialist III

Same knowledge and experience as a Payroll Specialist I and II and:
  • Uses professional concepts and advanced payroll knowledge; applies company policies and procedures to resolve a variety of issues. Experience with ADP or WorkDay, or payroll specific system a plus. Training in bookkeeping, accounting, payroll or finance preferred.
  • Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
  • Normally receives little instruction on day-to-day work, general instructions on new assignments.
  • Requires 4 years of payroll experience, preferably within a company or corporation of 1000+ employees with multiple entities and multiple states.
  • Associates degree and FPC or CPP designation preferred.
