We are currently seeking a Personal Assistant to the
CEO/President for our Pawtucket, RI office.
This position provides executive administrative support
to the CEO/ President as well as occasional
administrative support to the Executives in the
Executive wing at Collette Vacations. The environment is
fast-paced, energetic, and customer focused. The team is
professional yet accessible and service-minded. The
successful candidate will be collaborative and positive,
exceptionally well-organized, an effective communicator
and will be able to multi-task & prioritize. Due to
intense travel schedule of the CEO, this position will
also report administratively to the CFO.

RESPONSIBILITIES:
  • Provide first class administrative support including
scheduling and managing demanding Outlook calendar while
keeping the CEO highly accessible
  • Arrange/event-manage frequent meetings, offsite
conferences, and all personal appointments for the CEO
  • Coordinate timing and logistics of staff meetings
  • Prepare meeting materials ahead of time
  • Organize meetings, video conference, and conference
calls
  • Read/prioritize email and mail
  • Coordinate and follow up on appointments both business
and all personal
  • Create, Copy and distribute correspondence
  • Complete expense reports
  • Manage our Vermont house schedule
  • Manage all game /event tickets for allocation to
employees, vendors and family members
  • Cover for others (switchboard or data entry) when
needed
  • Compile reports using Microsoft Office products,
specifically Word, Excel and PPT
  • Handle and maintain highly confidential and sensitive
information
  • Will be required to accept or direct weekend and
evening calls or emails
Bachelor's degree required. Two years of experience
desired that is directly related to the duties and
responsibilities specified.

SKILLS AND EXPERIENCE:
  • Two years of high level, complex executive
administration work experience.
  • Expertise with Microsoft Office: Word, Excel,
PowerPoint, Outlook
  • Ability to interface effectively with all levels of
staff and executives internally and externally,
excellent communication skills - verbal and written
  • Ability to manage conflict appropriately, know when to
delegate issues upward
  • Proven time management skills with ability to
prioritize and handle multiple tasks and work in a fast
paced environment and remain cool under pressure
  • Exceptional organizational skills; attention to detail
and excellent follow-through
  • Ability to work independently as well as in a team
environment
  • Demonstrated ability to take initiative, anticipate
needs and exercise independent/sound judgment
  • Passion for learning new things, continuous
improvement
  • Experience dealing with sensitive and conflicting
situations in a diplomatic manner
  • Proven experience creating spreadsheets, creating
content and reports
  • Determined, self-motivated and eager to take on new
challenges
