About the Position : A versatile role that assists with the oversight and coordination of Playworks' administrative and capacity building functions. This position is a key resource for the city to advance Playworks' goals and work with staff and volunteers to create a sustainable and well-organized community-based organization. Also responsible for administrative functions of local, state and federal government grant program management and compliance, particularly AmeriCorps. This is a non-exempt position reporting to the Program Director.

Responsibilities include, but are not limited to (duties may vary dependent on location) :

Program Associate Duties:
  • Coordination with central office to ensure enrollment and terminations of employee benefits, timely submission of timesheets and employee status changes including managing background checks
  • Maintain and update Playworks personnel and program information on government databases including MyAmeriCorps portal for AmeriCorps:
    • Update members' hours regularly and in a timely manner
    • Maintain members' time sheets
  • Work in collaboration with the program staff to maintain government grants calendar of proposal and reporting deadlines, data to be collected, events and trainings
  • Collect and input program data for progress reports, including but not limited to student, teacher and principal surveys; other student assessments; member timesheets; snack monitoring; etc.
  • Manage AmeriCorps service projects:
    • Find appropriate service project opportunities
    • Contact agencies and members to calendar service days
    • Organize all logistical aspects of service projects
    • Directly supervise service and other projects, including some weekend and evening service dates
  • Build relationships with other AmeriCorps programs by identifying good matches and networking with other agencies
  • Attend AmeriCorps and other government grants-related events
  • Support the volunteer recruitment process
Administrative Duties:
  • Coordinate interviews, check references and manage recruiting database
  • Plan and coordinate office staff meetings and staff special events
  • Support central office efforts by overseeing school and agency invoice distribution and collections
  • Receipt tracking and maintenance for charge cards and checking accounts
  • General office management (e.g. answering phones, supplies inventory, office upkeep)
  • Snack coordination and reporting including ordering, pickup, packing, distribution, audit requirements and related data management
  • Materials assembly, ordering, distribution and invoice/packing slip reconciliation
  • Support office team to coordinate invoice distribution and collection
Qualifications :
  • Self-starter with strong organizational skills
  • Excellent attention to details and accuracy
  • Strong computer skills, ability to use existing technology to achieve desired results and proficiency in MS Word and Excel
  • Ability to handle ambiguity, juggle many tasks at once and quickly shift from one situation or task to another
  • Ability to lift 30 lbs
  • Excellent interpersonal, written and verbal communication skills
  • Ability to thrive in an environment that is characterized by significant growth, diversity and constant change
  • Comfort with a playfully professional workplace culture
  • Interest in and commitment to the tenets of AmeriCorps and national service programs
  • This position may require travel to various locations: If you use a vehicle, you must provide a current MVR, proof of liability and property damage insurance with a minimum of (100,000; 300,000) on vehicle used in addition to a valid drivers license

Compensation :
  • $13.84 per hour
