The Procurement Specialist orders materials and supplies as needed. The incumbent will support several requesters and locations with day to day procurement of materials, supplies, and services, with a special focus on entering capital purchase orders into the Lawson system. The Procurement Specialist will also monitor several locations within the software to ensure orders placed by requesters flow through the approval process and transmit to the vendors. The incumbent will resolve any issues that occur in order to facilitate prompt delivery of goods to the various requesters in accordance with the Procurement department guidelines. The Procurement Specialist processes and maintains Sutter Health affiliate level Lawson end-user and security requests, reviews and obtains appropriate approvals for security adds, changes and deletes. This develops, schedules, and prints reports within Lawson and Crystal. In addition, this position works on special projects and provides support for the Procurement department as required. The Specialist will monitor invoice discrepancies and facilitate their resolution.


Education/Knowledge, Including Licensure/ Certification/ Registration:

Must have BS or BA in Business Administration or Information Technology or an equivalent combination of education and experience with competency in the areas of Materials Management, Accounts Payable, and General Ledger . Extensive knowledge and use of the various financial systems is required. Must be able to demonstrate an understanding of Materials Management transactions starting with a requisition through payment including interfacing into the general ledger. Proven, demonstrated success in the techniques and communication skills needed to successfully support complex client/server systems is required. Extensive knowledge of Healthcare operations and structure, general requirements in an integrated delivery system and use of information system applications in the practicing Healthcare environment is preferred. Knowledge of computer systems in PC and client-server environments is required. General knowledge of business principles and practices needed.

Accounts Payable processing including on-line matching with an integrated Materials Management product is required with a minimum of 2 years of experience in an A/P department supporting a large company with at least 10 accounting units/cost centers. Familiarity with an electronic approval process system, Workflow, security levels assignment, and general ledger application familiarity is desired. Experience in a Materials Management department with a computer generated purchasing system is required. In depth knowledge of purchasing, inventory, and receiving functions are required. Experience in word processing and spreadsheet software is desired. Medical terminology and knowledge of medical supplies preferred. Sound interpersonal communication skills are essential.

Must demonstrate effective written and oral communication skills, good presentation and team building skills including familiarity with adult training skills. Must be able to assess users on training ability and adapt a training program to fit the trainee. Must be able to be involved in multiple projects at the same time. Must have good organizational skills, be able to prioritize multiple tasks and objectives with established timelines in a rapidly changing environment, and deliver quality service including accuracy as well as an attention to detail. Must be able to articulate technical and user needs so that it is concise and easily understood by all. Must be proficient at specifying user requirements, interacting with application staff and vendors and documenting system needs, outcomes, and procedures. Must be committed to providing exceptional customer service and responding to user needs in a prompt, courteous manner. Must have a positive attitude and be willing to learn new things. Must have the ability to maintain a high level of energy and creativity and be able to work independently. Must possess strong analytical skills to determine problems and identify solutions.
