The Program Assistant is a full-time, classified position in the Student Services Division at South Seattle Community College (SSCC). This position is responsible for providing students, staff, faculty, and the general public with information about the TRiO Student Success Services project, including program purpose, services, eligibility requirements, and student enrollment process. This position is also responsible for establishing and maintaining student and programmatic records and composing written communications. The Student Success Services (SSS) program is funded by the U.S. Department of Education and assists low-income and first generation college students and students with learning and physical disabilities in fulfilling requirements for completion of vocational and academic degree programs and for transfer to a 4-year university. Serve as the primary contact for program participants, staff, and faculty to identify and address needs, answer questions, make referrals and provide information regarding SSS processes and program services.
Compose correspondence to students, printed materials related to program policies, procedures, and operations and edit materials for accuracy, appearance, readability and style.
Maintain and reconcile program budget with supporting documentation.
Process travel, purchasing, and new employment paperwork.
Establish and maintain student paper records and files.
Use Blumen database software and Student Information Management system to develop and maintain student electronic records on a regular basis.
Prepares narrative and/or statistical reports regarding program operations.
Coordinate arrangements for program activities, such as workshops and quarterly events.
Facilitates the student enrollment process, including processing paperwork and communicating with students throughout the enrollment process.
Schedule advising appointments and manage the SSS Calendar.
Participates in SSS staff meetings.
Supervise work-study students.
Provide clerical support to program director and staff with grant continuation applications.
Required Education, Experience & Abilities:
High School graduate or equivalent AND two (2) years of experience in providing support to a student support services program, OR equivalent education/experience.
Proficiency with computer technology including word processing, spreadsheet and database software.
Ability to communicate complex program information effectively both in verbal and written transactions.
Bachelor’s degree in Education or related field; AAS in Office technology or related field OR equivalent education/experience.
Demonstrated ability to work effectively with culturally and economically diverse populations.
Expertise with graphics, word processing, statistical, spreadsheet and ACCESS database software.
Experience in higher education, especially community college.
Excellent organizational and communication skills.
Experience as participant and/or staff in TRIO or similar programs.
