Minimum Qualifications
Bachelor's degree in a related field and four years of experience. Additional experience may be used on a one-to-one basis to offset the educational requirements. The university offers market competitive salary and benefits. Grade EE.
Preferred Qualifications
Excellent skills in Microsoft Office applications with emphasis on Excel. Strong communication skills and experience working on projects and materials that require fine detail. Experience with Plone website development. Ability to work both within a team as well as independently. Proven ability to supervise work-study students and/or student workers.
Position Description
Process all preliminary demographic data in PeopleSoft, including assignment of UofL student id numbers, and prepare official letters of provisional/regular admission for all first-time freshman applicants with 2.5 or higher GPA. Process undergraduate visitor and transfer applications for applicants with a 2.0 GPA or higher, work closely with admissions for final admissions approval. Notify the Panama PUG liaison in writing of all admission decisions, including letters of acceptance or denial. Electronically process Drop/Adds for this program by required deadlines.
Process Admissions data in Peoplesoft in a timely and accurate manner. Complete related admissions letters and correspondence. Process Drop/Adds by required deadlines.
Serve as contact and information source, in coordination with appropriate UofL unit, for student services (i.e., email accounts; library access; student IDs when needed; academic standing; transcript requests, enrollment verification letters, et. al.)
Determine grade point average equivalencies by analyzing various international grading systems and calculating an equivalent GPA for international transcripts.
Communicate effectively with all relevant campus units. Accurately calculate GPA's for international transcripts.
Maintain email, fax, and telephone correspondence with QLU administrative staff and students. Maintain all international student databases that include student applicant status, addresses, degree information, etc.
Communicate with administrative staff at QLU via email, fax, telephone, and Fedex. Keep updated database of student information.
Set up Blackboard access for scheduled local Panama Instructors and renew as needed before local Panama faculty appointments expire. Provide individual faculty coordinators and faculty members with support for courses taught abroad (course/student registration, collection of faculty CVs, syllabi, assignment keys, student samples graded with comments, evaluations, and other faculty materials; grade processing/UL GPA averaging, correspondence w/students, maintain up-to-date course timetables and faculty assignments, et. al). Collaboration with applicable A&S Chairs and the Assoc. Dean for SACS processing of Certification of Qualification of Part-time Lecturer and SACS Justification Forms to include collection/distribution of certified local faculty transcript/diplomas, etc. as required for SACS assessment/approval. Make sure that all electronic documents are returned to units for SACS assessment.
Ensure Blackboard access for local instructors. Provide administrative support in the areas of registration, collection of faculty credentials, faculty assignments, course evaluations, provide materials to academic units for SACS assessment.
Manage Panama Web Portal keeping all relevant information accurate and current.
