Position Summary The Project Coordinator works closely with and supports the Project Management team and all IT infrastructure groups to manage internal tasks and activities around project implementations and infrastructure projects This position supports the team in administration of tasks for projects Candidates must be able to coordinate multiple tasks with many resources as well as weigh priorities This is an entrylevel (project Management 1) position with opportunity for performancebased growth into a Project Management role Supports PMO Technical Delivery Organization Assists project managers with status tracking of projects programs and other administrative activities Must be able to coordinate multiple activities either for project managers or directly against smaller projects Entrylevel position with opportunities to grow responsibilities Responsibilities Assist Project Managers with daytoday project tasks including gathering and documenting tasks and related information in multiple project management systems Assist project manager’s daily with issue and bug tracking and ensure resolution and maintenance of this information in the project management tool Assist in managing the program and project manager calendars Develop presentations and agendas for project meetings Develops and maintains a detailed project schedule which includes administrative tasks and all sites involved in the project Participation in IT and RD Team Meetings as required Ensure adherence to time schedules and project plans as required Ability to manage multiple projectstasks at a time with guidance from their manager on prioritization of conflicts Ability to operate successfully in a highly matrixed organizational structure Ensure coordination of the interfaces of all disciplines within IT and RD as required Responsible for maintaining the PMODelivery process and standards documentation Schedule and facilitate project meetings and provide meeting minutes Review incoming emails and respond to nontechnical inquiries as defined for this position Develop and maintain detailed schedule including all project phases and dependencies including at least preliminary engineering detailed design material procurement installation test and turnup and site and system acceptance Track project changes and produce updated site based schedule as agreed with engineering and project management Compile summary and project documentation on projects and produced by the project team Solicit input from the business analysts and project engineers to develop and maintain the detailed schedule Qualifications 1 Knowledge Bachelor’s Degree from an accredited college or university Five (5) years of progressively responsible experience in project related work Knowledge of analytical methods procedures and practices to include research software Knowledge of information gathering techniques procedures and practices Knowledge of project planning and management procedures practices and techniques 2 Skills Experience conducting project reviews assessing the quality of the deliverables based on the requirements and synthesizing project information Experience with various project management tools for the management of project schedules and budgets Skill in operating a personal computer and utilizing Microsoft software and database software 3 Abilities Ability to communicate clearly and effectively both verbally and in writing Ability to collect and analyze complex data Ability to exercise considerable individual judgment and initiative in conducting the necessary operations within the project or program Ability to develop initiatives in innovative manner for effective resolution Ability to prepare and conduct effective presentations Ability to assess and prioritize work within a highly dynamic environment Ability to coordinate multiple ongoing workstreams of efforts across multiple projects Ability to coordinate project activities with diverse cultures and individuals Project Coordinator
