Role Summary:
The Project Coordinator is a key member of the Creative/Production group within the Universal Pictures' Film Music department specializing in production, creative, and budgetary areas of the film-music processes. Additionally, this position supports two creative executives.

Essential Responsibilities:
  • Phones, scheduling, expense reports, filing, other administrative duties as needed
  • Responsible for maintaining work flow of the department
  • Support the executives to collaboratively and intuitively handle a variety of “spillover” work: music research, source/song music searches, temp-score research, interfacing with key contacts at record labels, publishers, artists, writers, musicians, music production companies, composer agencies, etc.
  • Research song info to complete clearance forms for licensing department
  • Help oversee film music budgets and song breakdown reports
  • Work with licensing department to assure music budget accurately reflects clearances
  • Oversee all music downloads and the organization of the department’s new music drive
  • Oversee the creation of monthly new music samplers as well as other music samplers for filmmakers/executives as needed
  • Gather/send assets to filmmakers, executives and music editors as needed
  • Coordinate source/licensing estimates and spotting notes for each film’s research previews
  • Coordinate and distribute scripts, subsequent drafts/pages to all concerned in the department
  • Help coordinate the hiring and management of departmental interns

  • Qualifications/Requirements
    Basic Qualifications:
  • MS Word and Excel proficiency
  • iTunes and Mac proficiency
  • Minimum 2 years experience working in music for a motion picture or television studio, production company, music label, composer, or music supervisor.
  • Excellent organizational skills and strong attention to detail is a must.
