SWCA is seeking a self-motivated, creative, and highly organized person to fill the position of Proposal / Marketing Coordinator. This position is located in SWCA’s Albuquerque, New Mexico, office and will also support our office in Durango, Colorado. This position will report to the Albuquerque Principal. This is a full-time, salaried position that will require periodic overtime, including working evenings and/or weekends as necessary to meet submission deadlines.
The proposal/marketing coordinator will lead and/or assist in the planning, creation, and production of proposals, government forms, and statements of qualifications in response to public sector and private sector requests. She or he will work closely with project managers, business developers, scientists, editors, administrative staff, and other proposal coordinators throughout the company to provide proposal coordination for all of SWCA’s disciplines, which encompass natural resources, cultural resources, paleontological resources, NEPA services, and planning.
The general responsibilities will be coordinating, writing, and formatting proposals; maintaining internal databases of marketing information; tracking business development efforts and researching opportunities; and coordinating efforts with other SWCA offices, subcontractors and teaming partners, and corporate marketing staff.
Job Responsibilities
Collaborate closely with various proposal managers to help carry forward the vision, structure, and content of individual proposals, or act as sole proposal manager on some proposals
Assess and understand solicitations and their requirements, including clarifying with the solicitor sometimes vague language and directions
Assist with the creative conceptualization and design of the proposal structure and its graphics (e.g., covers, dividers/tabs, timelines, organizational charts, and process diagrams). Create graphics using company software or guide in-house graphics specialists
Create and maintain a plan and schedule that keeps writers, editors, and production staff on task and on time
Write proposals or proposal sections, and/or coordinate writing assignments among multiple authors and combine their sections into a full draft
In collaboration with in-house editorial team, review text, graphics, and document structure for content, vision, and marketing effectiveness
Take ultimate responsibility for the details of submission requirements (including page counts, formatting and layout, and components such as appendices and attachments)
Solely, or in collaboration with administrative staff, assemble complete proposal package, whether electronically or as hard copy
Assist the Principal and the Albuquerque/Durango Business Development Team with efforts such as monitoring online solicitation systems, managing databases of business development information and opportunities, and coordinating post-award debriefings
Assist the Principal and the Albuquerque/Durango Business Development Team with strategic business development activities such as tracking and coordinating business development activities, and conducting market research
Job Qualifications
A bachelor’s degree in Journalism, Communications, Business, Marketing, or related technical discipline (Degrees in other specialties are acceptable if relevance can be demonstrated)
Minimum of one (1) year experience in proposal coordination, technical writing or related experience
Proficiency with Microsoft Word, Excel, PowerPoint, and Adobe Acrobat
Strong verbal communication skills to guide processes and teams and work with colleagues with diverse interpersonal skills, both face-to-face and in off-site locations
Excellent attention to detail, ability to multitask, and ability to work with minimal supervision
Flexibility with changing work priorities, meeting strict deadlines on fast-paced schedules, and prioritizing to support multiple proposals and deadlines
Strong proofreading, writing, and formatting skills
Strong planning, organizational, and problem-solving skills
Preferred:
Technical background knowledge in environmental consulting or architecture/engineering
Experience working in Deltek Vision or comparable management information system
Good eye for layout, sense of design, and company branding
Experience with graphics software, such as the Adobe Creative Suite
