This group is looking for an Administrative Assistant to support 4 – 6 professionals. Responsibilities will include:

· Answering multiple phone lines

· Working closely with clients to allow for high-touch client service

· Managing calendars including scheduling appointments, confirming meetings, coordinating with other Assistants

· Scheduling conference rooms for internal and external meetings

· Tracking and processing invoices including assigning cost codes and receiving approval from manager

· Entering contacts and into both the database and Outlook contacts

· Meeting and greeting guests, registering guests in visitor’s system

· Coordinating travel arrangements including flights, visas, cars, hotels, and other reservations

· Completing detailed expense and out of pocket reports including tracking receipts and charge codes

· Creating and/or proofing memos and letters

· Working on various ad-hoc projects

· Maintaining and organizing files


Strong candidates should have the following qualifications:

· Strong Microsoft Office skills (emphasis on PowerPoint, Outlook and Excel)

· Highly motivated

· Strong communication skills

· Organized and detail oriented

· Team player

· Ability to multi-task

· Experience with coordinating travel arrangements
