Job Title: Receptionist/Office Assistant

Department: Human Resources

The Receptionist is expected to have the switchboard open and operating promptly at 8:30 a.m. and throughout the day until 5:30 p.m. Relief switchboard coverage will be provided for a one-hour lunch, as well as morning and afternoon breaks of 15 minutes each. The Receptionist should work with relief coverage to determine appropriate times for lunch and breaks. Work involves the operation of the telephone switchboard, performing related clerical tasks, office support, greeting all incoming guests to station and assisting departments with administrative support. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

Accountabilities:
Professionally answers telephones through company switchboard and directs the caller to the appropriate destination.

Greets and directs visitors to the company in a professional, friendly and hospitable manner.

Receiving and relaying calls and messages to various personnel.

Gives out routine programming information, refer calls and callers to appropriate departments.

Open and close visitor area (locking doors, closing blinds, turning off lights).

Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.

Coordinate, order and prepare for lunches and staff gatherings.

Receives sorts and forwards incoming mail. Maintains and routes publications.

Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

Assists in the ordering, receiving, stocking and distribution of office supplies.

Type memos, correspondence and other documents.

May also assist with other related clerical duties such as scheduling meetings, photocopying, faxing, filing and collating.

Providing administrative support to Human Resources while assisting as needed with other departments.

Performs all other duties as assigned.

Knowledge, Skills and Abilities:
Experience and Education Requirements

Possession of a high school diploma or equivalent (GED).

Minimum 2 years customer service experience and or experience in the use of a multi-line switchboard or any combination of training.

Must have knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 1+ years related experience.

Must have basic knowledge of a variety of computer software applications such as: (Word, Excel, Outlook & Access).
