Responsible for receiving and directing incoming calls and visitors in a confidential and professional manner. Provide other administrative support as required. Position is part-time and will work 2-3 days a week.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Answer incoming telephone calls, determine callers' purpose, forward calls to appropriate personnel or department, and operate paging system when required;
- Take and deliver messages, or transfer calls to voice mail when appropriate personnel are unavailable;
- Answer questions about organization and provide callers with address, directions, and other information;
- Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel;
- Monitor visitor access and issue passes when required;
- Authorize receipt of shipments to Nexen;
- Report and log service requests for building maintenance;
- Assist employees with conference room reservations and food ordering;
- Maintain fax machine, assist users, send faxes, and retrieve and route incoming faxes;
- Perform other clerical duties as needed, such as typing memos, letters, and other documents.

LANGUAGE SKILLS - Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present basic information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to respond to common inquiries from other departments.
- High school diploma or equivalent required, with a minimum of one year of receptionist experience working for a medium-size company.
MATHEMATICAL SKILLS - Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY - Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.
OTHER SKILLS & ABILITIES - Proficient in Microsoft Word and Excel. Must be able to operate a switchboard and fax machine. Requires excellent interpersonal skills and the ability to communicate effectively with others in a professional manner, both in person and on the phone. Must be able to prioritize responsibilities.
