Job Summary : This job is responsible for serving as the receptionist for the Executive Office(s) and for performing related general office activities. Job duties are of moderate scope and complexity, and knowledge of office practices and PC operation is required. An incumbent is engaged in extensive and varied public contact, calling for strong customer service skills. Work requires adaptation to various situations, judgment as to which work method to apply for the desired result, and the ability to communicate effectively, and is performed within established procedures. Individual judgment is typically limited to proper handling of, and minor changes to, accepted routine. Essential Duties : Answers, screens and routes telephone calls directed to the Executive office(s); provides information in response to general inquiries from visitors, staff and others; takes and delivers messages; may occasionally schedule appointments and/or meetings and make other arrangements on behalf of the Executive(s) as requested. Greets and directs visitors, ascertains the nature of business and answers routine questions; informs appropriate party of arrival; may respond to complaints or refer them to the appropriate party; monitors restricted areas to ensure appropriate access. Receives, sorts, date stamps, logs and/or distributes incoming mail to appropriate parties; gathers outgoing mail; prepares mail/packages for overnight/expedited delivery; may pick up and deliver documents and materials; may prepare materials for large mailings and/or group distribution. Performs related general office duties such as collating/assembling documents, preparing labels, photocopying/faxing correspondence, reports, files and related materials and/or collecting/tracking/entering data in accordance with established procedures; updates policy/procedure manuals; may assist with reviewing documents, records or files for completeness, accuracy or compliance with established procedures. Utilizes computer applications or other automated systems to e-mail information, schedule appointments, produce correspondence/reports and enter information. Monitor, orders, receives and stocks office supplies; cleans and restocks work areas or other back office locations; monitors department equipment to ensure it is operational; arranges for equipment repairs and maintenance. Maintains familiarity with department operations, procedures and activities in order to provide current and accurate information as required. Performs clerical projects as assigned by other administrative support staff. May troubleshoot and resolve routine problems within designated scope of responsibility; may coordinate (or act as liaison) between internal departments or external parties as requested. Performs related duties as required.
        Education :
        • High school diploma (or GED equivalent).
        Experience :
        • One year of related work experience,

        • OR any combination of experience and education that would demonstrate the capability to perform the duties of the position.

        • Related work experience in an executive office is preferred.

        Licensure/Certification :
        • None required.
