RECEPTIONIST - ADMINISTRATIVE ASSISTANT - PART TIME AFTERNOONS (12:00 - 5:00 P.M. Daily)

BASIC FUNCTION

Allant is seeking a professional, reliable, positive part time Receptionist who will be the initial representation of Allant, greeting clients, visitors and employees at the front desk of our Corporate Headquarter building in Naperville, IL. Responsibilities can include answering a multi-line phone system of incoming phone calls and internal employee calls, assisting the administrative team with general clerical tasks, basic filing, basic MS Office skills (beginner level ok- training will be provided), creating IDs for guests, visitors badges, scheduling conference rooms and assisting with a variety of general administrative projects as needed and assigned.

PRIMARY DUTIES AND RESPONSIBILITIES

Professional Appearance, communication and presentation as the inital contact to all at the front desk.

Answers multi-line phone system and transfers calls to appropriate parties.

Assist staff with booking conference rooms in Lotus Notes.

Prepares visitors badges.

Prepares logon and passwords for wireless access for guests / clients.

Monitor security cameras and notify security officer of any unauthorized guests.

Assists Administrative Services team with printing and binding client facing presentations / materials.

Performs other duties and assignments as required.

PC proficiencies with Microsoft Office Suite, Lotus Notes,

MENTAL AND PHYSICAL REQUIREMENTS

Ability to maintain moderate level of visual attention and mental concentration for significant periods of time.

Ability to manipulate necessary office equipment, computers, and peripherals.

Ability to research and resolve routine problems and deal with multiple projects or activities simultaneously with frequently changing priorities.

General mobility to move within office environment. Ability to lift and carry up to 30 pounds on frequent occasions.

No travel required.

EDUCATION, TRAINING, AND EXPERIENCE

High School Diploma required; some College education helpful but not required. Education may include formal training, traditional hands on work experience as well as relative life experience.

6 month – 1 year of work-related experience within an office environment.

Multi-tasking experience and balancing multiple projects simultaneously extremely helpful.
