This position manages the timely and accurate newsletter production and post-production for U.S.-based newsletters. It is also responsible for managing the U.S.-based production staff in the DC and New York Office.

Responsibilities

Managing and building successful teams

  • Manage the staff of the U.S. newsletter production team in DC and New York
  • Manages staff scheduling and assignments
  • Coaches and mentors staff
  • Can serve as back up for all relevant newsletters
  • Initiates team training and development efforts
  • Enforces team responsibilities for layout and data accuracy
  • Communicates the wider goals and aims of Editorial to their team
  • Conducts staff performance (PMP) reviews
  • Deals with staff issues in accordance with HR guidelines;
  • Liaises closely with HR and the Director of Design and Production on staff issues
  • In charge of hiring process for department
  • Develops managerial talent within the team
Newsletter production

  • Ensure the timely and accurate delivery of all newsletters produced from relevant offices
  • Manage the production schedules of relevant newsletter titles
  • Manage “who does what” when covering staff vacation and absence
  • Serve as first point of contact for queries from Editorial, IT, Customer Support, Third Party Vendors
  • Is master user of all newsletter production tools, ie, InDesign, PEN, Creative Suite
  • Liaises closely with Editorial operations and Data operations to ensure accurate delivery of data to relevant newsletters
  • Ensures accurate placement of paid ads
Design, innovation and change

  • Serve as first contact for software support for team’s desktop publishing software
  • Manage the maintenance of newsletter templates for US-based pubs
  • Assist the Design team on updating and redesign of relevant publications
  • Help manage and champion the design and branding guidelines for US-based publications
  • Maintain and champion the design and branding guidelines for maps, charts and other graphics which accompany newsletters
  • Liaise with marketing department, to organize and create collateral when necessary
  • Help train team and champion new workflow and software applications
  • Communicate changes in procedure, workflow, and technical needs to Editorial Directors, Managing Editors and IT
Data gathering and metrics

  • Helps collect metrics and data on:
o Resend rates for team members

o Ad placement stats

o Newsletter publications deadlinesshortfalls

o Any other data requested by peers and superiors

Reports data and metrics on regular intervals to Director of Design and Production with an eye to improving accuracy and eliminating errors. Understands the complete editorial workflow and is available to contribute to business projects. May be called upon to communicate production issues to the business at a very senior level.

Qualifications

Education: Graduate in relevant field such as graphic design, communications, journalism, or extensive experience working in publishing industry. At least five years in a commercial design and production role.

Experience: Must have at least two years experience managing a team of production staff

Software skills: Expert user of desktop publishing and design tools, Adobe InDesign, Abode Illustrator, Adobe Acrobat, MS Word, MS Excel. Expert user of inhouse tech: PEN and XMetal

Team leadership skills: must be able to instruct staff members on procedures while encouraging creativity and innovation. Must be able to earn respect of team as well as the larger office, particularly editorial and technology.

Time management: Manages time efficiently to effectively coordinate multiple tasks in a high-stress journalism atmosphere. Ability to prioritize jobs and requests

Open personality: must be able to work quickly and effectively in a high-stress newsroom. Must be personable and have an aptitude for working with a variety of people with varying degrees of needs. Requires ability to work in a team environment and handle many conflicting priorities simultaneously
