The student services coordinator will provide leadership in the development and delivery of exceptional student services to program students by engaging, registering, providing course access, advising, and providing proactive advising/success coaching. He/she will ensure that students are aware of and can easily access a range of support services within the division and at their home campuses, monitor program admittance, registration, progress, and student success, and track activities and provide program and student information to the team. The student services coordinator will work within a program team member serving as the functional expert for student services and provide cross functional backup for fellow team members. She/he will be fully conversant in the goals and objectives, curriculum, and administrative details of the program.

The Student Services Coordinator performs the following functions:
Serve as the team expert in student services. Represent the student services perspective; consult with and seek approval from student services program manager to propose changes in processes that may impact the student services function.
Implement and maintain proactive advising/success coaching to address developing study and test-taking skills, encouraging effective money management, managing commitments, engaging with fellow students, navigating school processes, managing wellness, connecting school to future goals.
Establish regular communication with students to increase their likelihood of success. In students first term, talk with each student at least 5 times. Determine meeting frequency and type (phone, email, etc) as term and involvement in program progresses.
Monitor and report on student progress using manual and automated systems of data recording and reporting.
Refer students to home campus for financial aid, credit/degree audits, and other campus specific resources. Coordinate with partner campus personnel when students need additional assistance.
Register students or assist students with registration process.
Oversee automatic set up of students in D2L courses; manage manual processes when course preview week approaches.
Share information about program and available services with current and prospective students.
Engage prospective students by timely follow up on qualified leads generated through recruiters and referrals.
Provide regular communication to the program manager about student services issues, activities, and results.
Provide information to the student services colleagues about the program; participate in student services meetings; collaborate with student services staff members to share information about system initiatives, best practices, and issues related to the professional practice of student services.
Inform and coordinate with technical and course support staff to monitor patterns in requests for assistance and identify opportunities to improve student experience.
Contribute to the programs goals as an engaged member with a shared sense of accountability, authority, and responsibility for the success of the program and attainment of the identified goals.
The University of Wisconsin-Extension Division of Continuing Education, Outreach and E-Learning (CEOEL) is a national leader in innovative, engaging, and highly effective online programs and student services.
A CEOEL Student Services Coordinator is knowledgeable about student services and has a strong customer-service orientation, a broad understanding of the ways in which various generations communicate, and knows how to make adults feel comfortable and at home in higher education. She/he has primary responsibility for delivering exceptional student services to program participants. As such he/she plays a leadership role for engagement, registration, and proactive advising for one or more of the online programs offered through the division. This is a highly collaborative and integrated position. As a team member, the student services coordinator is student-centered, results driven, and responsible and accountable for fully participating in achieving the goals and objectives of the online program.
Although the student services coordinator works within the team dedicated to a specific program, he/she must also work with student services and other colleagues across the division. Hence the ability and commitment to be supportive, collaborative, and engaging are essential characteristics for this position.
