Title: Scientific Communications Project Coordinator: Specialist III
Reports to: Executive Director, Operational Excellence, Global R&D
Location: Cheshire, CT
Member of the Scientific Communications team responsible for coordinating activities essential to the timely execution of the internal projects associated with scientific communication/publication strategies. This position will work alongside relevant stakeholders to manage scientific communication projects and initiatives aimed at enhancing Alexion’s value proposition. Facilitates essential activities critical to the management of publications in order to support objectives and ensure operational efficiency. Responsible for initiating, tracking and completing the publication approval process utilizing Datavision publication management software, in order to support the scientific publication process and ensure timely completion of projects. Responsible for tracking Grant requests and submitting to Promotional Review Committee. Maintains the Scientific Communications budget and Sharepoint site. Scope of projects is minimally across all Soliris franchises.
Work closely with the Managers, Directors and Exec Director within Scientific Communications, and with Medical Affairs, as well as other departments such as but not limited to R&D, Finance, Legal and Marketing, to understand scope of projects, internal processes and timelines of deliverables to provide optimal project coordination, management and support for Scientific Communications activities.
Responsible for uploading publication deliverables to Datavision, and tracking and managing the scope of projects for timely completion of deliverables related to key congresses and journal submissions including abstracts, posters, presentations and manuscripts.
Identify any potential project challenges to departmental line management including changes in project plans, timelines or out of scope requests and suggest possible resolution options.
Prepare tracking and status reports for publication deliverables to update Publication Teams and other relevant stakeholders on the status of publication projects on a monthly basis or as required.
Manage Scientific Communications budget including submitting and tracking purchase requisitions and invoices. Consolidate monthly budgeting information.
Track and manage Grant requests utilizing Visiontracker software and organize and prepare requests for timely submission to the Promotional Review Committee. Track approval process to resolution.
Manage Scientific Communications SharePoint sites by working with the team to develop appropriate content. Assure the SharePoint content is kept up to date by serving as point person for data input and solicitation.
Assist in dissemination of Publication Alerts and Literature Summary and assure all relevant published journal articles are ordered via Infotrieve and uploaded to the Sharepoint site.
Provide administrative support to Executive Director/Directors including assistance with travel, submitting expenses, scheduling Publication Team and other cross-functional meetings and coordinating vendor services.
Responsible for maintaining and assuring that all Scientific Communications personnel are trained on the appropriate SOPs related to Datavision and Alexion Publication Policy.
Minimum 5 years’ experience in pharmaceutical and/or biotech business environment of which at least 2 years are in Medical Affairs or Clinical organization
Experience using publication management software preferred
Associate’s Degree in health profession, Business- related field or equivalent required
Bachelor's Degree in health profession, Business-related field preferred
Must be action-oriented and collaborative, with a positive can-do attitude.
