Position Summary: Reporting to the Director, HR Operations, this individual is responsible for the effective implementation, communication, maintenance, compliance and reporting of employee data and benefits programs including group and individual health, wellness, disability, life, and retirement. The ideal candidate will thrive in a fast-paced, environment with competing priorities and provide the necessary attention to the details required in benefits and HRIS administration.
Essential Job Responsibilities:
Administers all employee benefits programs, ensuring accuracy and compliance with all contracts and legal requirements. Defines and communicates procedures for managers and staff as necessary. Ensures accurate recordkeeping for plans and employee records.
Manages employee database (HRB/ADP) and all associated HRIS projects for enhancements and changes. Understands system requirements and ensures administration of data aligns with ADP and legal requirements.
Reconciles monthly invoices and ensures accurate vendor bill payment monthly and annually.
Sets up and maintains all record keeping for leave of absence and workers’ compensation management. Completes all reporting requirements internally and externally. Interfaces with Workers’ Compensation vendor to report and administer claims.
Collaborates with benefits vendors and brokers to solicit, review and assess quotes, manage accounts and address issues as needed. Conducts census and cost analysis and makes recommendations within budget parameters.
Leads annual open enrollment process for the company. Develops project and communications plan. Ensures smooth transition for managers and staff. Installs new plans and changes according to contractual agreements, ensuring accurate and timely implementation.
Advises and counsels managers and employees on benefits administration, issue resolution and leave management. Handles inquires quickly, courteously and confidentially. Maintains contact in person, by email or by phone to facilitate proper and complete administration of claims. Ensures accurate and compliant record keeping.
Leads system update projects, trains HR staff in use and administration of database.
Assures company compliance with all state and federal benefits laws. Prepares all necessary annual reports and filings in a timely manner. Leads and responds to all required audits.
Provides back-up support to HR Assistant in the set up of new hires, termination processing and changes to existing employee records in HRB. Complete offer process as needed, creating offer letters, packages, and notification emails. Complete termination process as needed, creating termination letter, notifications and termination checklist.
BA or equivalent experience, preferably in Human Resources Management
5-7 years experience in benefits administration.
Certified Benefits Professional certification preferred.
Demonstrated knowledge of related regulations and laws, including ERISA, HIPAA, ADA OSHA and FMLA.
Demonstrated sound judgment in resolving benefits issues, internally and externally.
Strong communication skills, written, oral and group presentation.
Ability to analyze and interpret complex documents
Strong time and project management skills
Strong computer skills, including Microsoft Word, Excel, Powerpoint
Demonstrated HRIS experience and database management experience
Experience with ADP’s HRB database preferred
Salary Range: Commensurate with experience
