Position Description:

Positions in this function include more traditional administrative/clerical support roles including: answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance. At senior levels, function may include supervision of other clerical/administrative staff.

Reporting to the Director of Clinical Operations, this person will be responsible for providing senior administrative support to the Director of Clinical Operations, Medical Director and 40 field based Evercare practitioners with supplemental support .The types of responsibilities will include but are not limited to scheduling meetings, taking notes of meetings, preparing following up lists, anticipating needs of the senior team, organizing files, preparing drafts of presentations/decks. This person will have to be familiar with the travel booking system, expense reporting, BSL responsibilities, event planning and implementation, and facility related issues.

Primary Responsibilities:
  • Extensive work experience within own function.
  • Work is frequently completed without established procedures.

  • May act as a resource for others.
  • May coordinate others activities

Requirements:
  • High school education or equivalent experience.
  • 3-5 years of previous Administrative Assistant experience
  • Advanced proficiency in MS Word and Excel
  • Intermediate proficiency in MS Outlook and PowerPoint
  • 3-5 years of experience in preparing, submitting and tracking expense report
  • 3-5 years of arranging travel for executives (directors & up)
  • 3-5 years of experience in scheduling and executing meetings for varying sizes of audiences
Assets:
  • Light Accounts Payable experience would be helpful
