In order to best serve our clients, it is important to have efficient processes and operations in place. Global Philanthropy consists of a senior leadership team; a strategic initiatives team; a field team of U.S. domestic and international grant officers; and a centralized grant administration unit. Reporting to the President of the JPMorgan Chase Foundation and working closely with the entire GP team, the role of the Senior Executive Assistant is based in New York, NY and performs a wide range of high-level administrative and core team activities including:
Managing calendars, organizing meetings, events, travel arrangements, time & expense forms and providing other management support.
Making and confirming travel arrangements.
Making and confirming appointments and coordinating with other departments/external partners when scheduling events and guests.
Processing invoices and expense reports for payment.
Maintaining files and records.
Compiling reports, as well as proofreading briefings, memos, packets, and presentations.
Preparing meeting materials, filing, faxing and photocopying for the team as needed.
Answering phones and opening/sorting incoming mail for the President and core team.
Working closely with other administrative assistants in other departments to ensure the office operates smoothly,
Supporting additional members of the GP team.
The ideal candidate will have a general understanding of and an interest in corporate philanthropy and be a self-starter capable of working with little or no supervision. The candidate must possess excellent communication skills, the ability to forge strong working relationships, and the flexibility to manage constantly changing priorities and timelines. The candidate must readily accept responsibility and proactively identify opportunities to provide assistance and help the department operate smoothly. This position is ideal for the candidate who truly thrives in a team environment.
Minimum of 5 years in an Executive Assistant, Office Manager role or professional equivalent.
Independent thinker who is able to exercise good judgment and has excellent relationship management experience.
Proven ability to be a team player and work cooperatively with other administrative assistants to back up each other, smoothly sharing and supporting the needs of the entire GP department.
Excellent organizational and time management skills.
Advanced experience with time & expense management, meeting coordination, and meeting support planning.
Strong meeting facilitation experience.
Experience interacting with senior management and senior executives.
Advanced proficiency with the full suite of Microsoft applications.
Complete knowledge of formats for business letters, correspondence and reports.
Precise use of English grammar, punctuation and spelling in written communications.
Private sector experience desired.
