This position will provide direct assistance to the Company’s Senior VP of Global Research & Development, at the corporate office of a global public company based in Glenview, IL. This position performs a variety of highly diverse and complex administrative and project oriented duties and responsibilities. The position involves contact with the highest level inside the company globally (Asia, Latin America and Europe).
Specific responsibilities will include:
Perform highly diverse executive administrative and general office duties, including but not limited to, maintaining complex calendars, arranging domestic and international travel, coordinating meetings/events, processing expense reports, preparing presentations and data worksheets, attend leadership staff meetings as an active participant, managing department files, and processing mail. Provide day-to-day administrative support operations of the function.
Coordinate and prepare materials for special projects, e.g. Management Committee meetings, etc.
The position requires interaction with Mead Johnson’s Management Council, their Associates, members of Mead Johnson’s Board of Directors and MJN employees and managers.
The position requires a superb ability to handle confidential information while demonstrating considerable use of tact, diplomacy, discretion and sound judgment.
Functional assistance will also be required for managing budgets, processing invoices
B.S. degree desired, High School Diploma required.
Minimum of 10 years experience as an Executive Assistant supporting senior level leadership required. Experience supporting a senior executive in a publicly traded company is desired.
Experience with internal SOX compliance activities desired. Ability to handle confidential information with discretion is mandatory.
Excellent organizational, verbal and written communication skills with a strong attention to detail are necessary.
Excellent people skills with the ability to work well with all levels of the organization
Experience communicating with leaders globally while being culturally sensitive
Exceptional ability to adjust to changing priorities, work and manage projects independently, ability to take initiative, be a problem solver, and function well as a team member. Project management experience is strongly preferred.
Strong technical skills including Word, Excel, PowerPoint, SAP, T&E, calendar and e-mail.
Flexibility to work extended hours given the global nature of the role is mandatory. Ability to work on site on all days of the week during core business hours of 8am to 5pm daily is essential as is the ability to occasionally travel domestically for key business meetings. The position is full time and located at our headquarters in Glenview, IL.
