Supports all sub-teams within the Retail Real Estate Group that includes Real Estate, Facilities, and Design and Construction.
Develops process documentation, project timelines, and workflows, where necessary. Acts as subject matter expert in key functional areas impacting the budget by applying GAAP (Generally Accepted Accounting Principles). Looks for opportunities to leverage synergies in reporting tools.
Tracks project scope, design, funding and construction schedule. Identifies items to be ordered for capital build project by reviewing CD (Construction Drawings). Determines delivery date of product to the store by tracking the different phases of the construction project and by attending regular meetings with the Construction Manager, Architect and IT. Coordinates delivery changes with vendor directly, due to delay in project completion or Landlord delivery date. Works with the Construction Manager in closing out Project in a timely manner to release unused funds, so they may be utilized in other must-do projects that may not have been budgeted. Develops new approaches for finding additional needed information. Demonstrates initiative in identifying alternative solutions to issues in the Retail Real Estate department, which are reasonably complex and require an understanding of how the outcome will affect multiple areas/departments.
Responsible for internal lease routing process. Abstracts all lease documents prior to routing for approval to highlight the key points the lease agreement will commit us to. A standard lease document is 80+ pages. Ensures a smooth and timely routing system by working with various departments including Regional Presidents and outside counsel to obtain approvals for legal documents and contracts. Notarizes all required documents signed by the VP of Finance and Area President.
Process orders and invoices for capital build and non-build projects (approximately $40M annually).
SPOC for all vendor contract management which consist of review and routing of new and renewal of vendor agreements, Non Disclosure Agreements, and Letter of Authorization by working with Legal, and Associate Directors of Real Estate, Design & Construction and Facilities.
Responsible for collecting and researching data and disseminating information to project team/staff on an ongoing basis.
Assist Area Finance throughout the year in obtaining information to expedite the approval of Business Cases.
Contributes to the preparation of presentations for senior management.
Assigned special projects as required
Supports Retail locations in the Southwest, PNW and Mountain Regions. Manages a portfolio of 182 retail locations including any facilities ordering and payment of invoices for construction projects (currently about 17) and lease abstract and approval.
Bachelor’s degree required, Masters preferred
1-3 years real estate leasing, property management, or contract development is essential.
Experience in abstracting and interpreting lease language, SNDA, and Estoppels.
PeopleSoft and O2P experience beneficial
Basic understanding of GAAP (Generally Accepted Accounting Principles) and Capital Purchase process.
Certification in Project Management a plus
Certification in Contract Management a plus
Ability to read CD (Construction Drawings)
