The Senior Project Manager is a critical client-facing position responsible for various sourcing initiative timelines and contract communication aspects of the sourcing management process. This position is heavily relied upon to be a process expert and information hub to the sourcing team and client stakeholder groups by tracking project status and reporting updates as required. The Senior Project Manager plans for, facilitates and communicates adherence to sourcing timelines to ensure smooth implementation of complex non-medical product and service agreements. The individual must have the ability to influence others to drive initiatives toward successful launch. The position requires seamless interaction with client stakeholder groups, client sourcing counterparts and client executive leadership. In addition, the Senior Project Manager must coordinate multiple resources both internal and external to support achievement of plans. Close collaboration and consensus building is essential to achieving a high level of productivity and a low level of confusion and miscommunication within a complex matrix of interested parties. Examples of the tools needed to achieve success include meaningful and well-designed reports, skillful analysis, formal and informal presentations, effective meeting facilitation, precise capture of action steps and impeccable follow through.

  • Position Objectives:
  • Develop working knowledge of business processes including a client-defined sourcing management process inclusive of the following steps: initiative identification, team kick-off, request for information, product/service evaluations, supplier request for proposal, bid analysis, stakeholder recommendation, contract negotiation finalization and contract communication.
  • Manage multiple projects and workflows, creates timelines, and status reports utilizing internal project tracking system for all projects. Acts as team coordination point, tracking project status and providing updates as required.
  • Provide project management leadership of the sourcing process and develop comprehensive project plans through collaboration with the MedAssets Service Line Director, Contract Negotiator and Kaiser Permanente Sourcing Director / Managers.
Essential Duties & Responsibilities:
  • Facilitate customer contract review and approval for new agreements and complex amendments to be added to the portfolio. In addition, prepare product announcements and manage internal processes and routinely interface with the Oakland-based Operations team.
  • Provide on-site coordination and logistics support during client meetings as well as end-to-end logistics management of site visits.
  • Develop, package and communicate all client facing materials related to sourcing management (including presentations, agenda, minutes, action items) according to established standards. Create contract communication documents that successfully outline team processes and decisions.
o Requires significant collaboration between Kaiser Permanente Sourcing Directors / Managers, MedAssets Service Line Directors and MedAssets Contract Negotiators.
  • Address customer issues and initiate inquiries to ensure timely resolution and follow up with all parties and report progress to key stakeholders and executives to manage expectations and achieve a successful sourcing project outcome.
o Escalate issues when necessary for prompt resolution.
  • Provide in-depth support of the sourcing initiative to ensure adherence to project deadlines.
  • Maintain timely achievement of assigned activities and adhere to all established policies and procedures and standards of business conduct.
  • The individual must have the ability to influence others to drive initiatives toward successful launch.   • Bachelor’s degree required with concentration in Business Administration or related field.
  • Minimum of 3-5 years of relevant experience as a professional project manager, contract manager, vendor manager and or buyer ideally within a strategic sourcing, supply chain, purchasing or materials management environment managing complex projects using Microsoft Project
  • Purchasing and contract management within non-medical service lines. Hospital/healthcare experience is preferred but not required
  • Three to five years’ experience with managing progressively complex projects
  • Knowledge of business products and services typically used in a healthcare environment is a plus
  • Demonstrated ability to work in a team environment that requires quick turnaround and quality output
  • Demonstrated leadership ability to lead cross-functional teams
  • Strong business acumen, analytical, interpersonal, and communication skills. Ability to interact at all levels of the organization
  • Very effective listening skills and ability to innovate and brainstorm around business ideas and needs
  • Ability to manage from 1 to 10 projects simultaneously
  • We will consider candidate with strong project management and sourcing methodology processes from other industries as well
  • Experience using all Microsoft Office Products (Excel, Word, PowerPoint, and MS Project)
  • Experience VMS (Vendor Management Software/VMS) Friction Less is a plus
  • Experience related to identifying and managing the sourcing of current and future contracts for non-medical products and services. Specifically related to managing and meeting key timeline requirements mandated by leadership.
