Staff Assistant/Alumni Relations Coordinator (Part-Time)
Job Description / Statement of Duties:
Reporting to the Executive Director of Alumni Relations and working closely with the entire Institutional Advancement team, the Alumni Relations Coordinator will manage alumni relations operations, alumni data, and special events. Specific Duties: Under the supervision of the Executive Director of Alumni Relations, Administrative *Manage the alumni e-mail inbox, answering or forwarding e-mails in a timely and appropriate manner *Coordinate alumni relations operations, including but not limited to, processing invoices and purchase requests, providing customer service for the alumni office, and preparing correspondence *Pull accurate alumni mailing lists and invitation lists from Raiser's Edge, and record appeal and event activity in Raiser's Edge in a timely manner *Prepare materials and take minutes for the Alumni Leadership Council (ALC) quarterly meetings and related activities Event Support *Provide support to plan, coordinate, and implement the logistics and details of all alumni and parent events, including preparatory materials for President Barrett and event memos (approximately 12-15 annually) *Ensure that all alumni events are posted on the online alumni community and MassArt.edu calendar *Manage all alumni R.S.V.P. lists and ensure proper and timely recording of event attendance in Raiser's Edge *Research all guests invited to alumni events (and record in Raiser's Edge notes and action tabs) for preparatory materials and event memos Data Management *Maintain accurate and updated alumni contact information in iModules and Raiser's Edge, updating addresses, employment info, etc. *Conduct regular data screening activities for alumni (NCOA and phone append process) *Manage all coding and list/segmentation needs for alumni (appeals, attributes and events) in Raiser's Edge *Facilitate all twice-annual uploads of new alumni class information to Raiser's Edge and iModules, as well as new student and parent information at the start of each year *Develop and pull analytical alumni reports as needed (queries, exports and reports) *Work closely with the alumni relations team to perform assessments and benchmarking projects *Ensure that parents and alumni are regularly screened and Director of Major Gifts is alerted to add identified prospects to major gifts/campaign prospect list Fundraising & Stewardship Support *Assist with alumni stewardship and cultivation efforts *Assist with annual assessment projects and data analysis to ensure that alumni relations programming meets goals and objectives as outlined in the strategic plan and alumni relations plan This position reports to the Executive Director of Alumni Relations and will supervise student workers and volunteers, as assigned. Required Minimum Qualifications:
General position requirements: *Maintain a thorough knowledge of the missions and objectives of both the college and the MassArt Foundation *Understand the key messages and goals put forth by the President *Be detail-oriented and well organized and able to work collaboratively with demonstrated flexibility and enthusiasm for alumni relations and fundraising *A deep appreciation for the arts, a belief in the college's public mission, and a desire to play a meaningful role in the MassArt community are also important attributes Required Minimum Qualifications: 1. Bachelor's degree and (2) two+ years of experience in an administrative position 2. Ability to effectively manage competing priorities and deadlines 3. Ability to fluidly switch from one task to another 4. Ability to work independently as well as collaboratively with staff members 6. Strong attention to detail 7. Excellent written and oral communication skills 8. Ability to meet deadlines 9. Ability to work some evenings and weekends as required 10. Excellent interpersonal skills and the ability to create and maintain relationships with a variety of constituents 11. Computer literacy and aptitude in using donor database systems and software; presentation software; content management systems; Microsoft Office; basic Adobe programs.
