Job Description / Statement of Duties:
Reporting to the Director of Major Gifts and working closely with the entire Institutional Advancement team, the Major Gifts Coordinator will manage the operations of major gift and campaign initiatives, perform comprehensive donor research and assist with donor stewardship, and serve as the primary support person for the Director of Major Gifts. Specific Duties: Major Gifts/Campaign Support *Manage Campaign moves management updates and reporting *Monitor and track campaign prospect information and campaign progress. Staff weekly internal campaign update meetings and prepare meeting materials including financial reports, prospect reports, work plans and task updates; *Provide administrative support for all capital campaign meetings, including preparation of meeting materials, record notes for committee distribution and implementation of meeting logistics *Prepare correspondence, including solicitations and timely acknowledgement letters for major and campaign donors, including scholarship agreements; monitor and track campaign financial information, ensuring all campaign pledges, gifts and pledge payments are accurately recorded in Raiser's Edge *Pull accurate mailing lists and invitation lists from Raiser's Edge, and record appeal and event activity in Raiser's Edge in a timely manner. Event support *Research all guests invited to campaign and major gifts cultivation events (and record in Raiser's Edge notes and action tabs), prepare event memo for distribution and provide needed research for speaking points. Record all attendees in Raiser's Edge action tabs and record notes from staff on guests in guest Raiser's Edge file *Provide logistical support for cultivation and small fundraising events (approximately 5 -6 annually). Coordinate with appropriate college staff on program logistics, including speaking program, refreshments and other details *Manage all major gift/campaign cultivation event R.S.V.P. lists and ensure proper and timely recording of event attendance in Raiser's Edge Data Management *Utilize Raiser's Edge to create campaign financial progress reports, track moves in donor records, create donor research profiles, and provide overall database support for campaign activities *Pull needed queries and reports in support of regular reporting requirements and provide regular update reports to Director of Major Gifts *Ensure that all prospects are recorded in Raiser's Edge; work with Director of Major Gifts to update all records on a regular basis. Record all event attendance, visits, and other contact in action tab and ensure all visit notes are entered *Maintain accurate and updated major gift/campaign prospects and donors contact information in and Raiser's Edge, updating addresses, employment info, etc. *Manages all coding and list/segmentation needs for major gift/campaign prospects and donors (appeals, attributes and events) in Raiser's Edge. Fundraising and Stewardship Support *Conduct confidential research on prospective major gift/campaign donors. Coordinator will be asked to research invitees to all campaign events and will be assigned additional research on a project basis. *Manage scholarship stewardship, including preparing scholarship donor acknowledgement letters and monitoring thank you letters from students (including review of letters for suitability). This position reports to the Director of Major Gifts and will supervise student workers and volunteers, as assigned. Required Minimum Qualifications:
General position requirements: *Maintain a thorough knowledge of the missions and objectives of both the college and the MassArt Foundation *Understand the key messages and goals put forth by the President *Be detail-oriented and well organized and able to work collaboratively with demonstrated flexibility and enthusiasm for fundraising. *A deep appreciation for the arts, a belief in the college's public mission, and a desire to play a meaningful role in the MassArt community are also important attributes Required Minimum Qualifications: 1. Bachelor's degree and (2) two+ years of experience in an administrative position 2. Ability to effectively manage competing priorities and deadlines 3. Ability to fluidly switch from one task to another 4. Ability to work independently as well as collaboratively with staff members 5. Strong attention to detail 6. Excellent written and oral communication skills 7. Ability to meet deadlines 8. Ability to work some evenings and weekends as required 9. Excellent interpersonal skills and the ability to create and maintain relationships with a variety of constituents 10. Computer literacy and aptitude in using donor database systems and software; presentation software; content management systems; Microsoft Office; basic Adobe programs.

Preferred Qualifications

1. Knowledge of Raiser's Edge 7 database is strongly preferred 2. Entrepreneurial spirit, sense of humor, and creative problem solving abilities 3. Previous experience in and high level of energy, enthusiasm and excitement for educational fund raising or fundraising in the arts 4. Background in the visual arts
