Scope of the Job
Under the supervision of the Ambulatory Administrator, directs, coordinates and facilitates the surgical scheduling activities of all clinic physicians. Utilizes appropriate administrative, financial and operational policies and procedures to facilitate continuity of care for the surgical patient. Acts as liaison between the department and other surgical and financial areas.
The essential functions are the primary dimensions for performance review.
Maintains patient privacy.
Utilizing the surgery scheduling program, is responsible for posting all surgical cases.
Identifies and requests specialized equipment and/or personnel required by the physicians for performance of each surgical case.
Coordinates the scheduling of all pre-operative testing, and history and physical.
Instructs patients on administrative, financial and pre-operative processes.
Verifies insurance coverage and obtains appropriate authorizations for all surgical cases.
Reviews clinicals with precertification staff from the various insurance carriers.
Maintains appropriate surgical authorization logs for all physicians within the department
Prepares reports as requested, educates staff members and physicians in new processes, policies and procedures.
Other duties as assigned.
Adhere to all regulatory requirements such as, JCAHO, CLIA, HIPAA, etc.
Must be able to perform under stress when confronted with emergency, critical, or unusual situations. Must be capable of dealing with periodic cyclical workload pressures and levels of responsibility. Required to make independent judgments without supervision. Must be able to make generalizations, evaluations, or decisions based on sensory or judgmental criteria. Must have the adaptability to perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure. Requires the ability to work with people beyond giving and receiving instructions.
SKILLS, QUALIFICATIONS, AND REQUIRED EXPERIENCE
Demonstrated knowledge of specialty surgical procedures with associated acuity levels and specialized equipment, ancillary services and staffing needs.
1 year experience scheduling required. Experience in electronic surgical scheduling program a plus.
Education and Certifications
High School diploma or GED from accredited institution required; Medical Terminology required.
