Penn State Intercollegiate Athletic department is seeking an Administrative Support Assistant for the Blue Band Office. This position will be the first point of contact for the office, thus exceptional customer service is imperative. Duties will include: answer the phone, greet visitors, provide answers or refer. Act as liaison with several offices within the Intercollegiate Athletic department, College of Arts and Architecture and the School of Music in the conduct of business related to the operations of athletic bands, staff support, and student musicians’ activities. Respond to general communications with current and prospective students and coordinate on-line visit requests. Maintain general office calendar, schedule appointments. Update and maintain electronic student records; file, scan and retrieve as needed. Interview, hire, train, supervise and evaluate assigned support staff. Compose correspondence, maintain printed materials and website to ensure that the information is up to date, write and edit as needed. Assist with course registration, resolve registration issues as needed. Process daily in-coming and out-going mail, as well as all bulk recruitment mailings for the office. Assist with Blue Band responsibilities during home football games (which will require occasional evening and weekend hours). Arrange and co-ordinate all travel details relative to off-campus performances. Gather student data from the e-Steward, IBIS and Microsoft Office File Maker to compile and prepare reports. A working knowledge of ERS and a basic knowledge of music is preferred. Excellent written and oral communication skills are required. Outstanding interpersonal and organizational skills needed; must understand importance of customer service and attention to detail. Must be self-motivated and work independently and as well as in a team environment. Willingness to take initiative and have flexibility to adapt to shifting workload demands. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding
