At some point, you may resign from a job, and it's important that you leave on a positive note. A resignation letter serves as your formal notice to your employer that you're separating from the company.

In this article, we discuss the importance of writing a resignation letter when leaving for personal reasons, what to include in one and offer effective resignation letter samples to help you write your own.

Why are resignation letters important?

When you decide to resign from your job, it's important to remain diplomatic and professional since you may depend on the employer as a reference in a future job search. A key element is to provide a written letter of resignation with a projected last day of work, ideally at least two weeks in advance. You are not obligated to disclose your reasons for leaving unless you feel comfortable doing so, and it's not required for you to tell your boss if they request a reason—typically it’s a standard legal protocol for employers to ask.

Ideally, you'd give at least two weeks' notice, but unexpected personal events happen and you might not have a choice but to leave your job with little to no notice. While not ideal, it is still possible to depart with grace.

If you are leaving because of personal reasons, you should approach the formatting and wording of your resignation letter as similar to a general resignation letter. It is your choice to disclose the nature of your reasons for leaving, however, if you do, limit your reason to no more than two sentences.

What to include in a resignation letter

A resignation letter usually includes the following components:

  • Statement of intent to resign: Your letter should immediately state the fact that you're resigning. A resignation template or example to refer to will often help you clarify your statement and keep it concise and on-topic.

  • Last day of employment: This important detail should always be in a resignation letter. Be hyper-aware that nerves and stress can make us forget things and be sure to include this detail.

  • Thanks to your boss/employer: Resigning diplomatically includes granting a word of thanks to your employer especially if you’ve learned and grown your skillset during your time with the company.

  • Offer to assist with the transition: While this part is optional, resignation letters will often contain an offer to help in the transition by finding and/or training a replacement. This is an excellent way to end your employment on a respectable note.

  • Contact information: Include your personal contact information formatted formally.

When resigning for personal reasons, use the following template and examples as a starting point to write your resignation letter. Select the sample you identify with most or use a combination of the letters and substitute in your details related to your employment and situation.
