What’s changing on Indeed messaging?

New: Conversation group email

What are messaging conversations?

Messaging conversations are group messages on Indeed that include 1 candidate and 1 or more employer users. They:

  • Support collaboration when multiple users from your company are involved in the conversation.
  • Are private. Only those with valid access can view, reply to, or email conversations on Indeed. There's no need to worry about being spammed.
  • Are specific to a single candidate and job.
  • Are visible on Indeed to all users who have Candidates permissions on the linked company account.

Conversation group emails are unique emails for a messaging conversation on Indeed.
These emails:

  • Allow employers to use email to send messages to a specific Indeed messaging conversation with a candidate on Indeed
  • Sync with Indeed messaging, so you can always see all responses in one place

Managing conversation participants

You can add or remove employer participants in Indeed messaging for any conversation. Participants are notified of any new replies to the conversation.

Reply to a new application notification email

Indeed users and non-Indeed users can join a conversation by replying to a notification email.

Send a message on Indeed

You will automatically become a conversation participant if you send a message to a candidate through Indeed messaging.

When a conversation is kicked off by an automated message, the person who turned on the automation will be added as a participant to applicable conversations.

Participants can be added or removed from a conversation with a candidate with the participants icon in a conversation.

Removing a participant has no impact on their Indeed user permissions.

Send an email and CC another user

When you email a conversation group email you can CC an email address to add it as a participant. This email address must already be connected to:

  • An Indeed user with Candidates permissions
  • An email address on the application notification list for the associated job

Problems joining a conversation

If you receive an email saying a message couldn’t be added to the conversation, you do not have the messaging access to join the conversation.

If you receive an email saying a participant couldn’t be added, the CC’d user does not have the right permissions to access the conversation.

Using conversation group email versus candidate email alias

Conversation group email
Candidate email alias
Send direct messages to a candidate
Send group messages to a candidate and other relevant participants
Syncs emails with Indeed messaging
Only users who are eligible to join as a participant can email this address
Email-only communications with a candidate
Any party can email this address (including third-party systems like an ATS)

If you reply to an application notification email, those replies are sent to the conversation group email

Candidate email alias  are available through the bulk export feature, on Indeed Resumes, and as part of the Candidate Sync integration for Hosted Jobs.

Emails sent to a candidate email alias will no longer sync to Indeed messaging

Candidate email alias will:

  • No longer sync emails sent to that address with Indeed messaging
  • Still support correspondence between employers and candidates, but only through email

These conversations will have information in the email thread stating that the communication is email only and will not be synced to Indeed messaging.

Inactive conversations may be locked on Indeed

Some conversations will no longer be compatible with Indeed messaging.

  • This will mostly affect older and inactive conversations
  • Locked conversations will have a banner in Indeed messaging stating that the conversation is no longer active and supported by Indeed
  • If an email is sent to a locked conversation through the conversation group email , Indeed will attempt to send an email to the sender letting them know their message was not delivered
  • To continue communicating with a candidate, use the email listed on their resume
