What is a new employee announcement?
New employee announcement emails tell coworkers who a new employee is, including what they’ll be doing and what their job title is. Unlike a new employee welcome letter that is only sent to the new hire, the new employee announcement is either sent to the entire company or a specific department/team as well as the new hire. The goal is to welcome the new employee to the team, give the team context on who the new hire is and foster connections between current employees and your new hire.
What to include in a new employee announcement
Introduce the new employee to your team by covering a few key pieces of information, including:
- Full name
- Start date
- Job role
- Department
- Direct supervisor
- Key responsibilities
- Academic background
- Professional background
- Two or three fun facts (such as a special talent, favorite sports team, unique hobby or another tidbit of information that can inspire conversation)
- How to get in touch with the new employee, including where their workstation will be
Consider sending your new hire a brief questionnaire before their first day to help you fill out the new employee announcement. Alternatively, you can ask the new hire to write a few sentences about their hobbies and interests to include in the new hire announcement. It can also be helpful to include a recent headshot, so other employees recognize the new hire around the office or on Zoom calls.
A new employee introduction email is typically around 150-300 words — long enough to share the most important details about the new hire, but short enough that employees will still want to read it.

Who to send the new hire announcement to
Some companies send new employee introduction emails to the entire organization. However, if your company is especially large, you may opt to send the message only to those in the new hire’s business unit or department. Ideally, anyone who will be interacting with the new employee on a regular basis should be introduced via the new hire email. Make sure to CC the new employee in the email so they can see if any of their new teammates reply with a welcome message or GIF.
Beyond email, you can also post the announcement on bulletin boards and/or Slack channels, and welcome new hires during all-hands meetings to make sure no one misses the memo.

Your “welcome new employee” email should be short, friendly and informative, and should reflect your brand’s tone and company culture.

A well-crafted new employee announcement can establish credibility for your new hire and help other employees understand how their new teammate will contribute to the company’s success.
