Job Overview
The Boys & Girls Club of Henderson County is seeking a highly organized and detail-oriented individual to join our team as a Full-Time Accounting Assistant. This position will play a crucial role in managing the day-to-day financial transactions, specifically focusing on accounts payable, including credit cards, and accounts receivable. In addition, this position will learn our payroll processes and share the responsibility. This position will also assist with grant reporting, specifically federal/state grants.
Duties
Accounts Payable:
- Process vendor invoices in a timely and accurate manner.
- Reconcile purchase orders with invoices to ensure consistency.
- Prepare and process payments, including checks and electronic transfers.
- Reconcile/process monthly credit card statements.
- Maintain organized and up-to-date records of all payables.
- Accounts Receivable:
- Scan checks with remote desktop scanner and/or take to bank.
- Enter deposits in QuickBooks.
- Provide deposit reports to Resource Development.
- Limited collections but may occasionally send invoices to donors for pledges and follow up as necessary.
Payroll:
- Process payroll for 50-60 employees bi-monthly.
- Help employees with timecard and login issues.
- Fund 403b Contributions
- CES reporting
Grant Reporting:
- Proactively collect and organize documents including timesheets, and invoices for grant reporting.
- Assist with grant reporting needs as necessary; we have several federal/state grants that require monthly reporting.
Financial Recordkeeping:
- Reconcile bank and credit card accounts monthly.
- Reconcile balance sheet accounts on a quarterly basis.
- Maintain accurate and organized financial records.
- Assist in the preparation of financial reports as needed.
- Collaborate with team members to ensure financial data integrity.
Skills:
- Proven experience in a similar role.
- Strong understanding of accounting principles and practices.
- Strong communication and interpersonal skills.
- Ability to meet deadlines and work effectively in a fast-paced environment.
- Experience with processing payroll.
- Proficient in using accounting software; QuickBooks Online strongly preferred.
- Non-profit and grant reporting experience preferred.
- Experience with credit card expense management software preferred.
