Job Summary
Under general supervision of the County Clerk; compiles and maintains accounts payable records by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Enter all claims for all County offices
- Check and approve all claims for payment
- Answers all vendor inquiries
- Analyzes vendor accounts and informs the board when cash is restricted
- Prepares accounts payable checks
- Prints all accounts payable reports and maintains all accounts payable files
- Prepares analysis of accounts, as required
- Balances month end expenditures with the treasurer’s office
- Balance bank statement monthly
- Customer Service
- Answer phones
- Help the public at the counter
- Enter journal entries on a monthly basis
- Reimburse the petty cash account on an as-needed basis
- Issue 1099-MISC, 1099-NEC and 1099-R on an annual basis
- Update office inventory
- Compile all inventory records for board approval
- Marriage Licenses

Qualifications

Education and/or Experience
- Associate's degree or equivalent from two-year college or technical school; or two years related experience and/or training; or equivalent combination of education and experience.
Language Skills
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
- To perform this job successfully, an individual should have knowledge of BOSaNOVA/AS400, accounting software; Microsoft Excel, spreadsheet software; Microsoft Word, word processing software and Google Chrome, Internet Explorer, internet software.
