JOB REQUIREMENTS:

The incumbent performs all aspects of Accounts Payable and Receivable. The incumbent also helps and supports other office functions. The incumbent is to make sure all appropriations stay within their parameters.

KEY RESPONSIBILITIES:

Responsible for waiting on customers.

Receiving money from customers and receipting it into the computer.

Receipting all monies taken in by other departments.

Preparing daily bank deposits.

Processing manual checks before their deadline.

Receiving invoices from Department Heads and making claims for Council to approve.

Preparing a claim docket twice monthly and emailing to Council before each meeting.

Processing all claims after approval by Council.

Generating monthly reports to Department Heads.

Receiving W-9’s from all vendors.

Reconciling deposits, receipts, & disbursements daily.

Balancing all claims & receipts monthly.

Issuing 1099’s for qualified vendors

SECONDARY JOB RESPONSIBILITIES:

Answering phone when needed.

Assisting the Clerk-Treasurer with bank statements.

Making sure department heads do not overspend.

Refunding damage deposits for rentals.

Ordering supplies.

Inputting new budget annually,

EQUIPMENT KNOWLEDGE:

Ability to operate equipment such as a computer/printer, copier, calculator.

SKILLS/EXPERTISE:

Must have basic knowledge of policies and procedures as prescribed by the Clerk-Treasurer and State and Federal agencies to complete accounts payable requirements.

Working knowledge of all department functions and City policies in order to assist public and complete work responsibilities.

Must be organized and able to meet deadlines while completing work with accuracy and according to established policies and procedures.

Must be able to communicate effectively both in writing and verbally.

Must have proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.

Ability to maintain confidentiality, exercise discretion and handle sensitive information with integrity.

Demonstrate commitment to providing excellent customer service and representing the community in a positive manner.

Strong organizational skills with attention to detail, and the ability to prioritize tasks and manage time effectively.

EDUCATIONAL REQUIREMENETS:

Must have a High School diploma or GED.

1-3 years of accounting experience or related education.
