The Directors Administrative Assistant supports the 290 Training Center Director team by organizing activities, schedules and fulfilling essential administrative tasks. In addition, this role supports the administrative staff and other special projects and tasks as assigned.

Reports to: Administrative Office Manager, Assistant Director of Training, Director of Training

Status: Full-time non-exempt, on-site

Direct Reports: None

Union: Local 11

Pay: Hourly rate per CBA and position held, currently $29.92 per hour with contracted raises at 6 months and 1 year

Our Joint Apprenticeship Training Committee’s (JATC) primary mission is to train highly qualified, skilled and marketable Plumbers, Steamfitters, and HVAC/R technicians for our industry. We are dedicated to developing professionals who bring expertise, character and a sense of teamwork to the clients we service, the contractors who employ us and the union we represent.

Key Initiatives First 90 days

  • Learn about the Director positions
  • Learn about roles and responsibilities of fellow administrators, coordinators and directors
  • Learn how and where to direct inquiries and issues
  • Gain proficiency in operating systems including phone systems and Union Manager through trainings, practice and use
  • Develop and implement tools and processes for managing supportive tasks

Core Functions and Activities

Director Support

  • Organize and help manage schedules and activities
  • Track projects and deliverables
  • Support projects and tasks

Administrative Staff Support

  • Reception and Services
  • Answer phones and voicemails, route messages to the correct parties
  • Register Members for Journeymen Classes
  • Direct Apprentices and other members to the right parties or information
  • Email notices to membership
  • Bookkeeping
  • Process payments for books and tuition
  • Payment plan process coordination
  • School Administration
  • Entering end of term grades into Union Manager
  • Entering test questions in forms
  • Book Handout
  • Scanning applications
  • Shipping and receiving books and other inventory materials
  • Other scanning and filing
  • Special Projects
  • iPad Management
  • Other Projects, Duties and Activities will be assigned or updated as needed

Knowledge, Skills and Abilities

  • Self-directed in work and meets deliverables and deadlines
  • Strong customer service acumen, timely and helpful responses to others’ needs
  • Ability to respond positively and de-escalate difficult customer service issues
  • Demonstrable organizational skills with attention to detail

  • 2-3 years of experience working in an office environment

Education and Skills:

  • Intermediate to advanced Excel and Word skills required
  • Intermediate Outlook skills required
  • Understanding of Management Systems such as Union Manager, demonstrated ability to learn new complex systems and networks required
  • High School Diploma or higher preferred

The following work activities will be preferred and helpful:

  • Some work in light bookkeeping
  • Previous work as a receptionist
  • Prior work as an executive assistant

Industry Knowledge that will be helpful but not required:

  • Unions and Apprenticeship Programs
  • Trade School or Higher Education Program Operations


This position is on site, and is primarily seated at a computer and talking on a phone, some walking, bending, and lifting up 25 lbs. The main campus where the job mostly takes place is flat, some walking is required.


There is little to no travel anticipated with this position.
