Overview
We are seeking a detail-oriented and highly organized Office Administrator to join our team. The ideal candidate will have strong accounting and bookkeeping experience, along with the ability to support daily office operations. This role is heavily focused on managing accounts payable, accounts receivable, payroll support, financial recordkeeping, and maintaining accurate accounting data. The successful candidate will play a critical role in supporting the financial health and operational efficiency of our organization.
Duties
- Manage all accounts payable functions, including processing vendor invoices, verifying accuracy, obtaining approvals, scheduling payments, and reconciling discrepancies.
- Oversee accounts receivable activities, including generating customer invoices, monitoring outstanding balances, posting payments, and following up on collections.
- Maintain accurate bookkeeping records and financial data using Sage100 and Intuit Enterprise Suite.
- Perform bank and credit card reconciliations and assist with month-end and year-end closing processes.
- Prepare financial reports, account summaries, and supporting documentation for management review.
- Assist with payroll processing, employee time tracking, and payroll record maintenance.
- Maintain organized financial and administrative filing systems to ensure compliance and accessibility.
- Coordinate with external accountants, auditors, vendors, and clients regarding financial matters.
- Support daily office operations, including document management, correspondence, and administrative tasks as needed.
- Ensure accuracy, confidentiality, and integrity of all financial and company records.
Experience
- Proven experience in bookkeeping, accounting, or financial office administration, preferably within the construction industry.
- Strong knowledge of accounts payable, accounts receivable, reconciliations, and general bookkeeping principles.
- Proficiency in Sage100 and Intuit Enterprise Suite is required.
- Experience with payroll processing and job-cost accounting is a plus.
- Excellent attention to detail and accuracy in financial recordkeeping.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Effective written and verbal communication skills.
- Proficiency with Microsoft Office Suite.
- Ability to work independently while maintaining a high level of accountability and professionalism
