Company Profile: ADAMS Compassionate Healthcare Network(ACHN), is a nonprofit free medical clinic that provides free primary and specialty care services for uninsured and low-income individuals in Northern Virginia and beyond. As our name suggests, we provide compassionate, quality healthcare to the most vulnerable of our population for free or at low cost. Our comprehensive services are made possible to the dedication and time of our community health partners and volunteer network. We provide a wide range of patient services including primary and preventative screenings, blood work, imaging, prescriptions, and referrals. Our integrated approach also includes, telehealth services, care coordination, food and housing security evaluations, and preventative health education.

POSITION: Administrative Assistant

JOB SUMMARY: The Administrative Assistant (AA) is responsible for supporting the Clinic Director with the administrative function of the clinic.

EXPECTATIONS:

  • Shall perform 25 hours of work/week;
  • Shall be physically present at the clinic during office hours of Monday to Wednesday 9:00 AM – 3:30 PM, and Saturday from 9:00 AM – 2:00 PM.
  • The AA may be expected to spend additional hours at the clinic on a case by case basis to assist with ACHN related meetings or events off-site.
  • Shall take direction from Executive Director and collaborate with other staff and volunteers, as needed.

DETAILED RESPONSIBILITIES:

Daily Operations

  • Eligibility in screening prospective patients
  • Scanning patient records, referrals, and extra paperwork
  • Operate Athena electronic medical records (Athena EMR) system
  • Operate Signup Genius for volunteer data collection, schedule, and other functionalities.
  • Front desk operation (answer calls, scheduling patients, maintenance of the front desk premises)
  • Send, receive, and organize faxes.
  • Collection of patient dues and maintenance of records
  • Collection of operational data including number of patients seen, labs and imaging ordered, number of referrals, medications dispensed, etc. to identify trends and make recommendations.
  • Dispensing and educating patients on prescriptions ordered through patient assistant program (PAP)
  • Train and operate Nova scripts electronic health record (BlueEHR)
  • Register and renew patients for enrollment on Nova scripts
  • Recording and collecting dues for patient prescription pick-up
  • Receiving medication/prescription shipments
  • Coordinating and following up on referrals (may include helping the patients schedule appointments)
  • Assisting the patients in filling out paperwork
  • Informing the patients regarding other free community resources as directed by the provider
  • Identifying problems and recommending solutions to streamline operations.
  • Experience working with Athenahealth (current ACHN EHR)
  • Updating EHR with results of labs, imaging, and referrals.

Additional Tasks:

  • Recruit, screen, and train new volunteers.
  • Take initiative in training and management of volunteers.
  • Assist with implementation of service agreements with outside organizations as well as serve administrator of any service-related grants ACHN receives.
  • AA to assist other employees for completion of their tasks on case by case basis.
  • Assist in designing marketing and outreach promotional material.
  • Assist in planning, managing, executing and reviewing of periodic events (health fairs, fundraisers, dinners, etc.).
  • Other requests made directly by the Board of Directors, Executive Director, Nurse Practitioners, and other providers.
  • Inventory of exam rooms, front desk, waiting room, lab room & supply/storage room.
  • Compiling and recommending supply list to Clinic Manager on a monthly basis.

Patients, staff and providers are required to wear masks at all times during the clinic visit.
