Position Summary

ARC is seeking an experienced and enthusiastic Workforce and Education (WF & ED) Administrative Assistant to join its Los Angeles team. The WF & ED Administrative Assistant plays an integral role in supporting the advancement of ARC’s mission by bringing a practical, but creative perspective to ARC’s workforce and education needs. The WF & ED Administrative Assistant will support and build upon all aspects of ARC’s workforce and educational programming. This position will help to explore new and innovative workforce and educational opportunities for ARC’s membership and will support to develop new programming that further advances the department. The Administrative Assistant will support both members and program staff. The Program Administrator will manage the administrative components of the program, including payments for stipends and training programs, ensuring program data is collected properly to track program goals and outcomes, managing enrollment and exit participants, and ensuring all program reporting requirements are met.

Essential Job Functions

  • Input all incoming and exiting participants information into appropriate database(s)
  • Develop a system for and track all incoming referrals, conducting appropriate engagement and follow-up
  • Review participant reports and support Life Coaches with outreach and follow-up.
  • Assist the Life Coaches with facilitating new intake orientation
  • Place orders for, obtain, monitor inventory of, and distribute supplies to staff and participants
  • Support the purchasing process for job-related participant fund requests, including stipends and material needs
  • Communicate participant issues and grievances to the Director within the allotted time frame
  • Monitor email accounts and reply to or forward messages as needed
  • Document and tract participant referrals for supportive services
  • Help coordinate services, address referral and billing issues, and maintain communication with training partners
  • Run program data and outcome reports via funders data systems
  • Coordinate with Associate Director to ensure program reporting compliance
  • Provide information to participants, volunteers, and potential training partners over the phone and email
  • Create, maintain, and replenish documents and forms, including intake packets for new participants
  • Create, update, and translate flyers and materials for department events.
  • Provide support for all Workforce and Education department events
  • Other duties as assigned

Qualifications

  • Associate Degree or 2-3 years working in workforce development with experience navigating higher education system, preferred.
  • Proficient data entry skills with accuracy and efficiency.
  • Strong organizational and communication abilities.
  • Effective problem-solving and teamwork skills.
  • Attention to detail in tracking participant information and program data.
  • Experience in administrative tasks, event coordination, and customer service.

Salary/Benefits

  • Compensation: $20 hr – $24.04 hr, depending on experience.
  • Multiple employer medical/dental/ vision plans with up to 100% employee coverage, 50% for dependents.
  • 10 paid vacation days, 6 paid sick days.
