Operations Administrative Assistant
About The Lamb Center (www.thelambcenter.org)
The Lamb Center (TLC) is a daytime drop-in shelter for individuals experiencing homelessness in Fairfax, VA. It provides various services without cost to its guests, including breakfast, lunch, showers, laundry service, Bible study, case management, AA meetings, a nurse practitioner clinic, a dental clinic, and much more. TLC partners with local groups and organizations that have a passion for serving homeless individuals.
About the Operations Administrative Assistant Position
The Operations Administrative Assistant provides administrative support to and is a vital member of the TLC Operations team. The ideal candidate will be organized and have exceptional attention to detail. This part-time, non-exempt position is approximately 25 hours per week and reports to the Assistant Director of Operations and the Assistant Director of Guest Services.
This person must have the ability to work with diverse populations. Experience serving individuals experiencing homelessness is a plus. Commitment to the mission, vision, and values of the Lamb Center is a must.
Operations Administrative Assistant Roles and Responsibilities
· Administrative functions, including managing guest mail, documenting and distributing meeting notes, filing, calendar management, handle guest locker waitlist and agreements
· Perform all dental clinic administration including scheduling, pulling and filing charts, ensuring all forms are complete, and collaborating with case management
· Assist in planning and preparation for special events and fundraisers
· Assist in managing and ordering operational supplies
· Assist volunteers in all service areas, including setting up, organizing supplies, and filling in as needed
· Process data in TLCIS (The Lamb Center Information System)
· Greet and assist visitors and donors, including receiving, unloading, and organizing in-kind donations
· Provide support for other daily tasks assigned by the Assistant Director of Operations or the Assistant Director of Guest Services.
· Attend training and staff meetings
· Other duties as assigned
Qualifications for the Operations Administrative Assistant
· Previous administrative experience and understanding of basic office procedures and equipment
· Proficient in Microsoft Office Suite or related software
· Supply and inventory management experience
· Excellent verbal and written communication skills
· Excellent interpersonal and customer service skills
· Ability to collaboratively work with others in and across departments
· Flexibility; able to manage multiple competing deadlines
· Excellent organizational skills and attention to detail
· A passion for TLC’s mission and an eagerness to work with individuals experiencing homelessness
· Bilingual (English and Spanish) preferred.
· Ability to meet the physical demands of the job
· Must be authorized to work in the United States without sponsorship
Physical Demands & Work Environment
· Ability to sit or stand for long periods. Climbing stairs, bending, and stooping may be required.
· Ability to lift and carry items weighing up to 25 pounds
· Ability to operate standard office equipment and keyboards
· Exposure to loud, hectic environment
· Possible contact with individuals in crisis may not be attentive to basic personal hygiene, health, and safety practices
Hours
Monday-Friday 7:30-12:30
Occasional Saturdays 8:30 – 12:30
Job Type: Part-time
Pay: $20.00 - $24.00 per hour
Expected hours: 25 per week
