The Administrative Assistant is responsible for providing general operation support and administrative support to the Running Strong staff for cash grant programs, inkind programs, and events.
Responsibilities include, but are not limited to:
- Relieves the Executive Director of administrative-type functions to increase the time available for executive level responsibilities. May assist in a wide variety of situations and conflicts involving administrative and program functions, including confidential information.
- Assists Running Strong staff with clerical duties, including filing, scanning and copying, assembling materials and publications, maintaining schedules and calendars, and scheduling meetings and travel.
- Maintains accurate and up-to-date physical and electronic files for programmatic purposes and audit compliance.
- Coordinates and takes minutes for weekly Running Strong staff meetings and high-level donor meetings on behalf of the Executive Director.
- Maintains onsite and offsite inventory of program supplies and other Running Strong materials.
- Monitors, receives and processes Running Strong mail, distributing it to the appropriate department.
- Mails out cash grant checks out on a timely basis. Supports Grants staff by drafting grant letters, logging outgoing grant checks, and addressing any cash grant related inquiries from new and returning applicants, on an as needed basis. Collects, organizes, and files photo and narrative collateral throughout the grant year for the Development team’s fundraising and awareness campaigns.
- Assists Program staff in the planning of special events such as Dreamstarter Academy, the Running Strong Tour, Running Strong Golf Tournament, and the Arts Festival including but not limited to drafting and mailing letters, helps recruit and manage volunteers, and scheduling meetings.
- Helps manage inkind grants and works with grantees to obtain timely reporting to support the requirements of our annual audit as needed. Helps the Executive Director evaluate inkind items. Works with Executive Director to plan in-kind calendar each fiscal year and procure in-kind product. Communicates with in-kind partners on behalf of the organization regarding shipments and necessary feedback about product to improve program.
- Participates in donor outreach and communication, including responding to donor inquiries and drafting and mailing thank you letters.
- Manages designated donations, including keeping proper records and updating donor database and depositing designated donations. Provides reports to Executive Director as necessary.
- Provides monthly sales and income information to Accounting department.
- Issues requests for payment and tracks vendor payment as needed.
- Reconciles Running Strong credit card expenses, collecting and logging receipts each month.
- Researches and provides support for other large new and existing grant initiatives.
- Responds to telephone, written and email inquiries from staff, donors, partners, and members of the public.
- Works with the Executive Director to obtain monthly program reports from field staff as needed.
- Some travel may be required. Travels alone or with other staff to visit program partners or donors when necessary.
- Other duties as assigned.
Requirements
Associate’s degree required.
Strong computer skills in Microsoft Office applications required (Word, Excel, Outlook, Teams, Powerpoint) required. Knowledge of WordPress and experience with donor or grants databases a plus.
Strong initiative and careful attention to detail, excellent organizational skills, demonstrated verbal and written communication skills, and the ability to prioritize and multitask without direct supervision is required.
3+ years of administrative experience required.
Ability to work well with others in a collaborative environment, and remain flexible, positive, and reliable under pressure required.
Knowledge of/experience with American Indian communities required.
Proof of COVID-19 vaccination required.
