This role is for a Technical Administrative Assistant supporting the Council on Environmental Quality (CEQ) within the Executive Office of the President (EOP) of the United States. Placed in a faced-paced environment, the ideal candidate should be a professional with a diverse background in providing high-level administrative support to multiple teams while working with tact, discretion, and autonomy to complete tasks. All candidates are required to submit and pass an extensive FBI background investigation, including drug testing and financial disclosure, to obtain a security clearance.

The incumbent will perform duties designated to support the management and policy staff by performing administrative responsibilities and contributing to effective public relations. Duties include:

  • Actively participate in staff and/or management level meetings and discussions pertaining to the activities encompassed in the administrative and management functions of CEQ.
  • Accepts or declines invitations to CEQ staff to attend meetings and arrange for representation by subordinate officials, as necessary.
  • Works in coordination with the front office and other agency officials to resolve calendar conflicts.
  • Serves at CEQ's telecommunications and computer services POC, responsible for initiating/coordinating telecommunication requests.
  • Create detailed floor plans in MS VISIO and manage/oversee the White House (WH) CEQ swap desk system to assist the office in maintaining public health procedures and requirements for additional workspace. Train staff on the desk reservation system.
  • Serves as CEQ's Building Manager and Facilities Coordinator Assistant.
  • Meets independently with GSA and White House Management to address all building maintenance concerns.
  • Serves as CEQ's Office Move Assistant and submits JIRA requests for approval.
  • Independently reviews correspondence & prepares White House drafts that require a high degree of analytical thought.
  • Manage the CEQ correspondence tracking system that is used in the EOP
  • Receives and archives official and semi-official correspondence.
  • Serves as a junior FIOA specialist assisting legal counsel.
  • Independently analyzes & composes replies for CEQ political officials' signatures in accordance with known policies and legal guidance.
  • Trains staff on all new White House guidance regarding Safety and Evacuation Procedures for our COOP Safety team.
  • Contacts officials to develop information and assemble data not readily available for their own use or for the use of the policy staff in replying to unique cases. In these instances, the incumbent will determine what requires the Chair's personal attention.
  • Clears all White House visitors for appointments and meetings in the meeting location through WAVES/WH Appointment Center.
  • Serves as the White House tour point of contact for CEQ
  • Coordinates and submits all tour requests by working closely with White House Management and the Visitor's Office.

Candidates must be proficient or have mastery of technical skills in the following :

  • Windows Operating System
  • Apple/Mac Operating System
  • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Access, Publisher, SharePoint)
  • Business Machines (Fax, Copy Machine, Scanner, Multiple Phone Lines)

DISCLOSURE INFORMATION

  • Applicants must be aware that the CEQ operates out of a building that is not fully ADA-compatible. Applicants who apply acknowledge the requirement of frequent travel, walking up and down stairs, as no elevator is present in the primary building.
  • This position is offered through a federally funded program that mandates by law only individuals who are aged 55 and older can be hired. By applying, individuals certify they are aged 55+.

Job Type: Full-time

Pay: $19.21 - $22.20 per hour

Expected hours: 32 – 40 per week
