Our team of dedicated therapists creates a welcoming and supportive environment for both clients and staff. We are currently seeking a reliable, detail-oriented Administrative Assistant to join our team on a contract-to-hire basis.

Job Summary
The Administrative Assistant will play a vital role in the day-to-day operations of the practice by providing front-desk support, assisting therapists, and ensuring the office environment is well-maintained. The ideal candidate is organized, tech-savvy, professional, and capable of handling multiple tasks in a confidential and fast-paced setting.

Responsibilities

  • Answer incoming phone calls and respond to client inquiries with professionalism and care
  • Schedule, confirm, and manage client appointments using practice management software
  • Verify and check client health insurance benefits prior to appointments
  • Greet clients and ensure the front office area is welcoming and organized
  • Support therapists with administrative tasks including making copies, scanning documents, and preparing materials
  • Maintain the cleanliness and organization of the office environment
  • Manage office supplies and ensure equipment is functioning properly
  • Run errands as needed (e.g., picking up office supplies, mailing documents)
  • Perform other duties as assigned to support practice operations

Qualifications

  • Prior experience in a healthcare or mental health setting is preferred
  • Strong phone etiquette and communication skills and knowledge of HIPAA compliance
  • Experience with scheduling and insurance verification
  • Proficiency with office technology (copiers, scanners, basic computer software)
  • Highly organized and detail-oriented
  • Ability to handle sensitive and confidential information
  • Self-starter who takes initiative and can work independently
  • Valid driver’s license and reliable transportation for occasional errands
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
