Full Time
Salary Range: $33,920 - $45,000
Schedule: Monday through Friday; 8:30 am to 5:00 pm
General Description
Under general supervision, performs service, administrative, and clerical support for the Detention Center with processing, inputting, maintaining, and updating all inmate data and information regarding current holding status, booking, release and court appearances or related information to track an inmate's confinement status. The Detention Admin Service Specialist is responsible for preparing court documents for transfer to other instituting. Maintains custody and control of inmate's cash account. Provides assistance to department management, co-workers and the general public, as needed.
May be required to work varied shifts including nights, weekends, and holidays. Admin Services Specialist is subject to being held over or called back to work additional hours depending on the staffing needs of the office.
Trains and orients new employees. Performs other related duties as required.
Duties and Responsibilities
The functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work as necessary.
Essential Functions:
Responds to all telephone inquiries and/or greets the public, law enforcement personnel, and other member of the criminal justice system; directing them to the appropriate personnel.
Enters, receives, retrieves and sends data from a variety of sources including local, regional, state, national and federal organizations following procedures, policies, and specific requirements of relevant system by telephone, fax and NCIC law enforcement computer system.
Enters payroll into Munis for all Detention Center employees and also enters straight time/overtime for other departmental employees work to assist Detention Center staffing needs.
Enters all information regarding inmate sentence with a high degree of accuracy.
Assists with Freedom of Information requests/FOIA request.
Duplicates and distributes copies of incident reports to administration, deputies, outside agencies, citizens, attorneys, insurance companies, and other interested parties. Interprets and applies state public records laws, federal privacy and freedom of information acts, and internal policies governing the release of information and documents.
Prepare correspondence and/or legal forms and documents in compliance with written procedural guidelines set forth by the department.
Maintain reference materials, records systems, status logs, and/or workload statistics; sort and store information based on alpha, numeric, content, or other classification method; search for and retrieve information stored in manual and/or automated systems; purge files in accordance with established procedure.
Schedules all appointments for Inmates Attorney visits. Assigned to make appointments for special needs and 17 year old inmates.
Responsible for Commissary commission, both monthly and quarterly reports. Assists with Inmate Property.
Encodes, enters, and scans invoice documents for all Detention invoices in Munis (RFC), daily. Operates security doors from a touch panel computer system, as assigned.
Prepare and print incident reports for the public after receiving a completed FOIA request; Inquire and print incident reports for County Sheriff Deputies and other agencies, as needed.
Stocks and maintains office supplies and Jail property issued to inmates.
Responsible Assist in reply to media emails (redacted) when requesting incident reports. Gathers and distributes daily mail.
Answers questions and concerns. Provide directions, takes messages and/or directs to correct facility.
Minimum Education and Experience Requirements:
Requires a working knowledge of county's financial system and accounting procedures. Working knowledge of generally accepted governmental account principles.
Requires High School graduation or GED equivalent. Requires six months office/clerical experience OR an equivalent combination of education, training and experience.
Special Certifications and Licenses:
Requires NCIC certification and re-certification every two years. Notary Public for SC is required for this position.
Must possess or have the ability to obtain a valid drivers' license and be insurable.
